Full Job Description

Construction Administrative Assistant / Receptionist

Growing construction company in Bellmawr, NJ is seeking a highly organized, dependable, and motivated Construction Administrative Assistant / Receptionist to join our team. This position is ideal for someone with prior construction office experience who can work independently, manage multiple priorities, and provide administrative support to Project Managers and office staff.

The ideal candidate will have strong communication skills, excellent attention to detail, and a proven record of reliability and punctuality.

Responsibilities:

Answer and direct incoming phone calls
Greet visitors and assist customers and vendors
Filing, copying, scanning, and maintaining office records
Manage electronic files using OneDrive and company filing systems
Order office supplies and coordinate travel/hotel reservations
Customer, vendor, and subcontractor follow-up
Create, organize, and maintain project job folders
Maintain project tracking logs and job lists
Prepare and submit project submittals
Assist with proposal preparation and bid packages
Prepare and process change orders
Support Project Managers with daily administrative tasks
Collect employee timesheets and payroll calculations
Assist with other administrative duties as assigned

Qualifications:

2–3 years of construction office experience required
Experience with submittals, change orders, proposals, and project documentation
Proficiency in Microsoft Office (Word, Excel, Outlook) and OneDrive
Strong organizational and multitasking skills
Professional written and verbal communication skills
Ability to prioritize work and meet deadlines in a fast-paced environment
Excellent attendance, reliability, and punctuality are required
Ability to work independently and as part of a team
