Full Job Description

Payroll & Accounts Payable Specialist

Full-time | Construction Industry

We are a small, family-owned construction company located in Van Nuys, seeking an experienced Payroll & Accounts Payable Specialist to join our team. This position is responsible for hands-on, in-house weekly payroll processing for three separate entities, full-cycle accounts payable, and construction payroll compliance.

We are looking for someone with direct construction payroll experience and an understanding of the complexities of union payroll, certified payroll, prevailing wage, and Federal and California payroll compliance.

Key Responsibilities

· Payroll & Compliance

· Process in-house weekly payroll for three entities, including union and non-union employees.

· Review employee time and payroll reports for accuracy before processing payroll’

· Maintain employee payroll records, new hires, terminations, deductions, and payroll changes.

· Prepare union reporting, certified payroll reports, workers' compensation reports, 401(K), and prevailing wage documentation.

· Handle payroll and reporting requirements for OCIP, CCIP, and PLA projects

· Assist with audits

· Coordinate employee onboarding, drug screening, background checks, apprenticeship requirements, and project badging.

Accounts Payable

· Manage full-cycle accounts payable

· Review, code, enter, and route vendors' invoices for approval

· Research invoice discrepancies and communicate with vendors and internal staff as needed

· Prepare and process check runs and ACH payments

· Maintain vendor records, including insurance certificates and compliance documentation

· Reconcile vendor statements and process company credit card transactions

· Prepare AP Aging reports and assist with month-end / year-end accounting as needed

Administrative Support

· Assist with business licenses, DOT/Motor carrier permits, incoming mail, recordkeeping, and other general and administrative duties as needed.

Qualifications

· Construction payroll experience required

· Strong hands-on experience with union and certified payroll

· Knowledge of Federal and California payroll wage-and-hour compliance

· Experience with OCIP, CCIP, and PLA projects

· Full-cycle accounts payable experience

· Sage300 CRE (Construction and Real Estate) experience strongly preferred

· Strong proficiency in Microsoft Excel and Word

· Excellent attention to detail, organization, and follow-through

· Ability to manage multiple deadlines and work independently

· Strong communication and problem-solving skills

· Ability to handle confidential payroll and employee information appropriately

We are looking for a dependable, detail-oriented, and proactive professional who understands that construction payroll and accounts payable require accuracy, compliance, and careful attention to deadlines.

Employment is contingent upon successful completion of a background check.

Pay: $29.00 - $31.00 per hour
