HealthFit is a premium wellness clinic in Pasadena: physical therapy, chiropractic, regenerative therapy, hyperbaric oxygen therapy (HBOT), regenerative therapy and longevity testing; all under one roof, all working together. Our patients pay for quality over quantity, and we deliver it every single visit.
We're hiring our next Wellness Concierge & Front Desk Sales Specialist. You'll be anchored at our front desk alongside our Front of House Coordinator, the second face and voice of HealthFit, supporting day-to-day patient flow, owning the sales/lead nurture side, and stepping up to run the show when our Coordinator isn't on the floor.
This role matters. We're not looking for someone to "cover the front desk." We're looking for someone our Coordinator can actually rely on. Someone with the skill, energy, and ownership to keep things running at HealthFit standards whether they're being watched or not.
What you'll actually do day-to-day
Front of House / Patient Experience (alongside our Coordinator)
- Be the warmth in the room. Greet every patient by name. Set the tone.
- Help manage the calendar: scheduling, rescheduling, cancellations, reminders, gap-filling.
- Handle inbound calls with the kind of presence that makes someone trust us before they've even booked.
- Keep the reception area and gym floor clean, organized, and clinic-grade, every day, not when someone reminds you.
- Coordinate seamlessly with our PT and chiropractic doctors and the wellness team. You're the connective tissue.
- Step up and run the show when our Coordinator isn't on the floor, same standards, no drop-off.
Lead Nurture & Sales (empathy-based, never cold)
- Follow up with every lead. Every one. The ones who filled out a form Tuesday and went quiet, the ones who came in for a consult and need a check-in, the ones who said "let me think about it" three weeks ago.
- Convert qualified inquiries into consultations and consultations into care plans.
- Hit weekly and monthly sales targets and KPIs. We track. We coach. You'll know exactly where you stand.
- Educate prospects on which of our services actually fits their problem, not what's easiest to sell.
- Zero cold calling. Everyone you talk to has raised their hand. Your job is to meet them where they are.
The cool stuff you'll be part of
You're not selling adjustments and hot packs. You're helping people get access to:
- Hyperbaric Oxygen Therapy (HBOT): what elite athletes, longevity clinics, and biohackers are paying premium dollars for, available right here in Pasadena.
- The Regenerative Stack: focused Shockwave, EMTT, radial pressure wave, and PRP coordination. Integrated into our rehab process from Day 1, not bolted on at the end. This is how we heal the source of the problem, not just the symptom.
- VO₂ Max Metabolic Testing: the gold-standard fitness and longevity assessment. Most people in Pasadena don't know this exists outside of a sports science lab. We do it weekly.
- Red Light, PEMF, Peptides: the recovery and longevity layer most clinics don't even offer.

- You're genuinely curious about health, recovery, longevity, and human performance. Bonus, not required, but the people who light up about this stuff do the best work here.

Logistics
- Pay: $18–$24/hr (DOE)
- Schedule: Monday–Friday, 8 AM–5 PM. Occasional overtime for the right person, but standard business hours are the core.
- Location: 145 Vista Avenue, Suite 103, Pasadena, CA 91107. In-person only — this is a front-of-house role.
- Employment: Full-Time preferred. Part-Time considered for the right candidate.

- Education: High School diploma or equivalent preferred.
- Experience: 1 year sales + 1 year customer service preferred. Not required — we'll train the right person.
