Job Overview

We are seeking an energetic and detail-oriented Front Desk Clerk to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your enthusiasm and organizational skills will help create a positive first impression for visitors and clients alike, while efficiently handling communication and clerical tasks. This paid position offers a dynamic environment where your proactive approach and technical proficiency will shine.

Duties

Greet visitors, clients, and vendors with professionalism and warmth, ensuring a positive experience from the moment they arrive
Manage multi-line phone systems to answer inquiries, direct calls, and relay messages promptly and accurately
Maintain organized front desk area, including filing, data entry, and updating records using productivity software such as Microsoft Office and spreadsheets
Handle appointment scheduling and calendar management to coordinate meetings and events efficiently
Support office management tasks such as inventory control, supply ordering, and document processing using Word processing and data management tools
Assist with client communication via phone, email, or in person to provide excellent customer support and resolve inquiries effectively
Utilize technical skills including QuickBooks for basic bookkeeping tasks when necessary

Requirements

Proven clerical experience with strong office management skills in a fast-paced environment
Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry
Strong organizational skills with the ability to multitask, prioritize, and manage time effectively
Exceptional customer service skills combined with professional phone etiquette and effective verbal communication
Bilingual abilities are highly preferred to serve diverse client needs more effectively
Experience with multi-line phone systems, filing systems, calendar management, and office productivity software is essential
Technical proficiency in QuickBooks or similar accounting software is a plus but not mandatory
Demonstrated ability to handle confidential information discreetly while maintaining accuracy in data entry and record keeping
Personal assistant or front desk experience is advantageous for understanding client communication dynamics
