Summary
Imperative Information Group is an HR consulting and background investigations firm based in Fort Worth, Texas. It operates under two brands, Imperative—Bulletproof Background Screening and PFC Caregiver and Household Screening.
The firm’s founder and President, Mike Coffey, also hosts the popular weekly podcast, Good Morning, HR.
The Administrative Assistant will report to Imperative’s President and Imperative’s Business Manager. This position will play a critical role in ensuring the successful day-to-day operation of the business.
Imperative is a fully remote company. However, this position will work daily in the Owner/President’s home office. Therefore, discretion and trustworthiness are imperative.
Because the Administrative Assistant must daily drive to the post office and occasionally run other errands, a reliable automobile is required. Expenses will be reimbursed. Public transportation will not be adequate.

Responsibilities
The Administrative Assistant will:
- Always operate in accordance with Imperative’s organizational values.
- Exercise a high level of accountability.
- Earn and maintain the respect and trust of the leadership team.
- Prepare scorecards and other materials for weekly and quarterly meetings.
- Act as minute keeper for meetings using Asana.
- Manage bi-weekly staff performance incentives.
- Ensure mail is checked daily for research, checks, and invoices.
- Scan documents for storage in the electronic document management system.
- Prepare and file employee paperwork; manage employee files.
- Arrange travel for conferences and events.
- Purchase office supplies, as needed.
- Manage Accounts Receivable, including, but not limited to the following:
- Manage monthly invoicing.
- Follow up on past due invoices.
- Manage client payments
- Issue credit card refunds
- Manage billing contacts.
- Respond to client inquiries about invoice and payment status.
- Pull sales reports.
- Manage client information in QuickBooks
- Manage accounts payable, including, but not limited to the following:
- Filing and entering all bills and receipts.
- Managing commission payments.
- Auditing vendor invoices for accuracy.
- Entering credit card statements.
- Manage vendor information in QuickBooks.
- Queue bills for payment.
- Complete special projects as requested.
- Offer support to Operations and Marketing as needed.

Position Type/Expected Hours of Work
This is a full-time position and hours of work and days are Monday through Friday 8:00 am to 5:00 pm, with some flexibility. Occasional evening and weekend work may be required as job duties demand.

Compensation and Benefits
This role will initially pay $17 - $21 per hour.
After 90 days’ employment, the following benefits accrue:
