Full Job Description

Job Overview

We are seeking a dynamic, proactive, and organized Receptionist/Legal Intake Specialist to join our team! This vital role combines front desk responsibilities with legal client intake, ensuring a seamless experience for visitors and clients alike. As the first point of contact, you'll create a welcoming atmosphere while efficiently managing administrative tasks. Your energetic approach, polished presentation, and attention to detail will help support our legal team and enhance client communication. This paid position offers an exciting opportunity to develop your office skills within a professional legal environment.

Responsibilities

Greet visitors warmly, answer multi-line phone systems, and direct calls with professionalism and courtesy
Manage front desk operations, including scheduling appointments and maintaining a tidy reception area and other staff common areas and conference rooms
Conduct initial legal client intake by gathering essential information accurately and efficiently
Assist with clerical duties such as filing, data entry, proofreading documents, and maintaining client records
Utilize Microsoft Office programs to prepare correspondence, reports, and general legal documents
Support office management with tasks including organizing files, maintaining supplies, arranging courier services, and handling mail distribution
Provide excellent customer service by addressing inquiries promptly and communicating clearly with clients and team members
Present a professional image at all times by maintaining appropriate business attire, a polished appearance, and a welcoming front-office presence.

Qualifications

Proven office or administrative experience in a professional setting, preferably in a legal or similar environment
Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and general computer skills
Excellent phone etiquette with experience answering multi-line phone systems and providing customer support
Bilingual abilities are highly desirable to serve diverse client needs effectively
Exceptional organizational skills with the ability to prioritize tasks, occasional multitask, and manage time efficiently
Attention to detail in proofreading, data entry, and client communication
Previous experience in clerical work, front desk operations, or personal assistant roles is preferred
Demonstrated ability to handle confidential information discreetly while maintaining professionalism
Professional demeanor, strong interpersonal skills, and the ability to maintain a polished, client-ready appearance in accordance with office standards.
