Duties

Greet visitors, clients, and staff with professionalism and warmth, establishing a positive first impression
Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
Handle data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace
Maintain organized filing systems, including digital documents and physical files, ensuring easy retrieval
Support office management by scheduling appointments, managing calendars, and coordinating meetings
Assist with bookkeeping and basic QuickBooks tasks to track expenses and financial records
Provide customer support by addressing inquiries promptly and professionally, both in person and over the phone

Qualifications

Proven experience in office administration or clerical roles with strong organizational skills
Excellent computer literacy, including proficiency in Microsoft Office, Google Workspace, and data entry software
Prior experience working with multi-line phone systems and managing front desk operations
Bilingual abilities are highly desirable to serve diverse client needs effectively
Strong typing skills with attention to detail for proofreading and document accuracy
Knowledge of office management practices, including filing systems and calendar management
Demonstrated customer service skills with a friendly demeanor and professional phone etiquette
