Onboarding Coordinator

The Onboarding Coordinator plays a critical role in ensuring every educator joining Tradewind Subs receives an outstanding experience while meeting all legal, compliance, and operational requirements before stepping into a classroom.

Position Summary

As the first person many educators meet at Tradewind Subs, you'll play a pivotal role in shaping their experience and ensuring outstanding educators are ready to support schools across Southern California. You will be responsible for sourcing, screening, interviewing, and referencing new Tradewind Subs educators, ensuring every candidate receives an exceptional experience throughout their onboarding journey.

Working closely with the Education Consultants and Compliance Team, you will help candidates progress efficiently from initial application through registration and into compliance, preparing them for their first assignment as quickly as possible.

Key Responsibilities

Candidate Onboarding

Manage the onboarding process from application through screening, registration, and handover to the Compliance Team.
Act as the primary point of contact for new educators throughout onboarding.
Conduct screening interviews and guide candidates through each stage of the onboarding process.
Ensure all required documentation is completed accurately and within required timelines before passing candidates to the Compliance Team.
Maintain regular communication with candidates throughout their onboarding journey.

Database & Systems Management

Maintain accurate candidate records within the CRM and HR systems.
Obtain, upload, and process candidate references.
Monitor onboarding progress and proactively resolve delays.
Ensure candidate information remains accurate and up to date.

Candidate Experience

Deliver a professional, welcoming, and supportive onboarding experience.
Build positive relationships with educators from registration through first placement.
Conduct regular follow-up communication with candidates awaiting clearance.

Cross-Functional Support

Work closely with Education Consultants to prioritize onboarding based on School Partner demand.
Liaise with the Compliance Team to ensure onboarding documentation is complete.
Support HR with employment documentation and policy acknowledgements.

Operational Support

· Provide additional operational support across the business as required, including assisting the Education Consultants with educator bookings and placement coordination during periods of high demand.

· Support wider recruitment, operations, and administrative projects to help ensure excellent service delivery to both educators and School Partners.

Key Performance Indicators (KPIs)

Success in this role will be measured through:

Number of onboarded Tradewind Subs educators.
Average onboarding turnaround time.
Candidate clearance rates.
Accuracy of compliance.
Candidate satisfaction.
CRM data accuracy.
Educator retention and utilization.

Skills & Experience

Essential

Previous experience in recruitment, onboarding, HR administration, compliance, or education staffing is preferred but not essential.
Excellent organizational and time-management skills.
Outstanding attention to detail.
Strong written and verbal communication skills.
Ability to manage multiple priorities in a fast-paced, enjoyable environment.
High level of professionalism and confidentiality.
Strong customer service skills.
Proficiency with Microsoft Office and cloud-based systems.

Desirable

Experience within education recruitment or staffing.
Knowledge of California employment documentation and onboarding requirements.
Experience using CRM, ATS, and ADP.
Understanding of compliance processes, including I-9, E-Verify, Live Scan, and educator credential verification.

Working Hours

Full-time, non-exempt position.
Monday to Friday, hybrid role (WFH Tuesday and Thursday).
