Role Summary
The Payroll & Compliance Advisor is a highly detail-oriented operational professional responsible for payroll execution, compliance oversight, tax auditing, onboarding administration, inventory accountability, and process improvement.
This individual will own the accuracy and timeliness of payroll operations while supporting compliance readiness across DOT requirements, onboarding documentation, benefits administration, workers compensation, tax compliance, and operational audits.
The role works directly alongside and supports the Financial Controller. Working collaboratively to create scalable systems that improve visibility, ensure accountability, reduce unnecessary costs, and strengthen operational execution and effectiveness across Big Inc.
Key Responsibilities
Payroll Operations & Auditing
● Process accurate and timely payroll across all operating entities.
● Audit payroll data, hours, deductions, benefits, workers compensation classifications, and reimbursements for accuracy and compliance.
● Ensure payroll is completed with zero avoidable errors and complete supporting documentation.
● Partner with operations leadership to resolve discrepancies proactively before payroll processing.
● Maintain payroll records, tax filings, and supporting audit documentation.
Compliance & Risk Management
● Coordinate onboarding compliance for all new hires, ensuring complete and accurate documentation as it relates to payroll execution and tax compliance.
● Maintain DOT compliance readiness and assist with regulatory audits and reporting.
● Monitor workers compensation, tax compliance, and benefits utilization to improve operational efficiency and cost savings.
● Audit compliance records regularly to identify gaps, inconsistencies, or operational risks.
● Escalate compliance violations or payroll concerns when necessary.
Systems & Process Improvement
● Build and maintain scalable SOPs for payroll, compliance, onboarding, and audit processes.
● Utilize QuickBooks, Motive, Google Sheets, Logik, GMS Software, DOR portals, and compliance systems to maintain operational accuracy.
● Develop reporting systems and tracking tools that improve visibility and accountability.
● Assist leadership with identifying automation opportunities and process improvements.
● Maintain monthly inventory audits for operational assets including iPads, scanners, fuel usage, and related equipment.
Operational Support & Accountability
● Support the Financial Controller with operational auditing, reporting, and administrative execution.
● Reduce operational friction by proactively identifying and solving recurring administrative issues.
● Hold a high standard of accountability across documentation, timelines, and compliance readiness.
● Operate with urgency, precision, and ownership — especially during periods of rapid growth and scaling.

Qualifications
● 3–5+ years of payroll, compliance, or financial administration experience.
● Strong experience with payroll processing, tax compliance, and auditing procedures.
● Exceptional attention to detail and organizational discipline.
● Experience with QuickBooks, Google Sheets, Excel, Numbers, tax accounts, compliance portals, and operational reporting systems.
● Strong understanding of workers compensation, benefits administration, and onboarding compliance.
● Ability to identify inconsistencies, investigate issues, and solve problems independently.
● High level of accountability, urgency, and ownership.

Pay: $75,000.00 - $90,000.00 per year
Work Location: In person
