Full Job Description

We are currently looking for an outstanding Scheduling Coordinator to join our team. The Scheduling Coordinator role is a challenging but rewarding position. The Scheduling Coordinator’s primary responsibilities include: Creating new-client schedules with appropriate staff, ensuring client’s schedules are covered in the event of staff call-offs, managing schedules to ensure regularity/consistency for clients and staff, all while providing exemplary customer service at all times.

Scheduling for home healthcare is very fast paced and can be very complex. With call off coverage we often have a high number of shifts to get covered daily. Many times scheduling is very time sensitive, and finding the best options for the client can be challenging.

Scheduling is managed though a software based system, however changes must be communicated effectively at all times to ensure both clients and caregivers know their schedule. The ideal candidate is someone with great communication skills, ability to multi-task well and function in a fast-paced environment, often times under time constraints.

All supervisors participate in an on-call rotation for evenings and weekends. Must be comfortable with after-hours and weekend on-call duties. Typically, the on-call rotation is one weekend a month and one Mon-Thurs evenings, week per month but may differ.

Most of the on-call duties are carried out over the phone, however as a last resort, occasionally supervisors are required to cover shifts, to ensure clients have coverage for every shift.

Must be well organized and have good time management skills. Must also be able to remain calm and professional under pressure and in situations where multiple time sensitive matters arise concurrently. Must be a good problem solver and able to work through various scheduling changes and needs without becoming overwhelmed easily.

The ideal candidate will have:

-Experience working in an office environment

-Experience in a supervisory role (Preferred, not required)

-Experience in scheduling (Preferred, not required)

-Experience with home healthcare, or other healthcare experience (Preferred, not required)

-A current CNA or MA license would be beneficial (Preferred, not required)

Candidates will be required to pass an extensive criminal background check as well as drug testing prior to employment. We do provide health benits through an Appleton Clinic membership, for all office-based roles.

Responsibilities

· Responding promptly to client and caregiver scheduling needs

· Ensuring coverage for shifts when staff call out

· Creating complex schedules with many variables in place

· Assure schedules are managed to ensure regularity for clients and staff

· Occasional support with client intakes and care meetings

· Office administrative, filing and inventory management

· Attend meetings, provide updates and reports as needed

· Write and distribute email, correspondence memos, letters, faxes and forms

· Provide general support for and assistance for other office team members

· Provide outstanding customer relations via phone and in person

· Conduct interviews

· Assist with orientations

· Provide support with client shifts if needed

· Assist in maintaining office cleanliness

Skills

· Ability to work in fast paced, multi-tasking environment

Attention to detail and problem-solving skills

· Strong organizational skills with the ability to multi-task

· Excellent time management skills and the ability to prioritize work

· Able to work as part of a team or independently

· Excellent written and verbal communication skills

· Working knowledge of office equipment, computers/printers/fax machines etc.

· Experience in basic MS Office and Google systems (Excel, Word, Gmail, Drive, Google Forms, etc.)

**Office hours are Monday-Friday 7:30a - 4p. As a supervisor, it is expected that we have all time sensitive matters handled prior to leaving at the end of the day. Often, staying past 4:00pm is necessary if we are starting a new client's schedule or have open shifts needing coverage.

Pay: From $18.00 per hour
