This is a front desk–based role position and requires a responsible professional, and personable individual to provide holistic support to residents of the Roosevelt Park Ministries neighborhood and surrounding areas. Key responsibilities include welcoming visitors, answering phones in both English and Spanish, translating basic documents, creating and distributing promotional material, registering clients, providing information about programs and services, promoting those services in the community, and ensuring that all interactions reflect the organization’s values and mission.

Employees in this position are also expected to uphold and enforce organizational policies and procedures consistently. Attention to detail, confidentiality, and respect for established systems are essential.

Roosevelt Park Ministries is a grassroots nonprofit organization supported primarily by donors. As a result, programs, services and priorities may shift based on community needs and available resources. This role requires an individual who can adapt to a dynamic, community-focused environment where priorities may change to meet community needs, while maintaining organization, efficiency, and professionalism.

Work Schedule:

Must be available Monday through Thursday.
Monday and Wednesday: 9:30 AM to 7:00 PM, schedule may vary based on class schedules with hours adjusted as needed to accommodate class schedule.
Tuesday and Thursday: 9:00 AM to 7:45 PM.
Occasional weekend work on weekends for special events, but this will always be communicated in advance.

Work Hours:You can expect a minimum weekly range of 35–40 hours under this position, typically scheduled Monday through Thursday. Occasional weekend hours may be required, but these will be scheduled in advance as needed.

Please Note: Availability for these hours and days is essential for the role. This schedule is a core part of the job. You must be available during these hours and days, with flexibility required as needed.

Responsibilities

Greet and welcome all visitors, clients, and employees in a friendly and professional way. Direct visitors, clients, and students to completely fill out the sign-in sheet and assist them as necessary.
Answer incoming phone calls, directing them to the appropriate organization contact person, or taking messages and providing information as needed.
Manage incoming mail by processing, sorting, and distributing it to the appropriate person. Process outgoing mail and packages as necessary for the corresponding courier.
Coordinate and schedule appointments for staff and clients as needed, and maintain calendars used for meetings and events.
Complete daily data entry from visitor logs, maintain databases, and ensure client, student, and visitor records are up-to-date.
Provide basic and crucial information regarding office operations, schedules, and organization details to visitors and callers.
File and organize documents - both physical and digital.
Assist with a variety of administrative tasks and provide administrative support including drafting emails, preparing reports, conducting research, and developing program documents and marketing materials.
Manage visitors and security by monitoring entrance, enforcing security protocols and maintaining visitor logs.
Assist with the planning and logistics for organizational events and meetings.
Assist with resolving basic technical issues for employees and visitors such as wifi connectivity, .
Assist with office supply Inventory, tracking use of office supplies and assisting with restocking as needed.
Track, monitor, and record attendance and client participation in programs.
Translate documents and promotional material as needed.
Assist in scheduling services or programs as required.
Issue receipts for payments, verify and report income from members, and maintain related records.
Ensure building safety and upkeep by communicating any known issues to building management.
Assist other staff with any needed tasks such as information gathering, data entry, marketing, and recruitment calls.
Listen to and transcribe telephone messages in both English and Spanish.
Prepare meeting rooms and classrooms for use, and help with general maintenance of facilities.

Qualifications:

Bilingual Spanish/English skills required, including ability to speak and write clearly and correctly in English and Spanish.
History of providing quality customer service
Strong listening and relationship skills with a history of treating people with dignity and respect
Proficient in use of computer office programs including, but not limited to, Microsoft Office and Google Office programs.
Demonstrates humility, a service-oriented mindset, and a willingness to serve others.
Ability to assist the Director of Operations in recruiting and engaging students and members for classes and programs through outreach, relationship-building, and promotional efforts.
