Full Job Description

Preconstruction & Client Selections

Position Summary

We are seeking a highly organized and proactive Selections & Project Coordinator to support our team in delivering a legendary client experience. This role serves as a critical link between clients, vendors, designers, project managers, estimators, and accounting, ensuring selections are completed on time, decisions are documented accurately, and projects remain on schedule.

The ideal candidate is an exceptional communicator who can confidently guide clients through the selection process, coordinate multiple moving pieces simultaneously, and maintain a high level of accuracy throughout the construction journey. This position plays a key role in helping clients feel informed, confident, and cared for from preconstruction through project completion.

Key Responsibilities

Preconstruction & Client Selections

Assist the Estimator in establishing pre-contract allowances.
Guide clients through preconstruction selections and decision-making.
Present allowance information and decision schedules upon contract execution.
Schedule and coordinate vendor appointments for client selections.
Ensure vendors receive accurate plans, specifications, and allowance information prior to appointments.
Monitor selection deadlines and proactively follow up with clients to maintain project schedules.

Project Coordination & Communication

Track plan revisions and distribute updates to all impacted team members and vendors.
Communicate selections, specifications, pricing, drawings, and project updates to clients, designers, project managers, estimating, and accounting teams.
Confidently and professionally drive timely client decisions to prevent project delays.
Obtain, organize, and maintain documentation for all client approvals and change requests.
Maintain accurate project records, including paint colors, product specifications, finish selections, and related documentation.
Assemble and organize warranty information for clients upon project completion.

Vendor & Order Management

Coordinate with vendors to ensure accurate and timely ordering of materials and products.
Maintain a strong understanding of product lead times and proactively communicate schedule impacts.
Upload and organize selection information within Dropbox, Buildertrend, and other project management systems.
Prepare and process Change Orders as required.
Verify that product specifications and orders align with approved client selections.

Qualifications

Required Skills & Experience

Minimum of 3 years of administrative, project coordination, or related experience.
Strong organizational skills with exceptional attention to detail.
Ability to confidently and respectfully drive decisions, timelines, and scheduling.
Excellent written and verbal communication skills.
Strong problem solving abilities and willingness to seek guidance when appropriate.
Ability to manage multiple projects and competing priorities simultaneously.
High level of professionalism and ability to handle confidential information.
Strong computer skills and aptitude for learning new software and systems quickly.
Ability to read and interpret residential construction plans and drawings.
Working knowledge of construction materials, building processes, and project coordination.

Preferred Qualifications

Associate's or Bachelor's degree in Business Administration, Architecture, Construction Management, Interior Design, or a related field.
Experience working in residential construction, remodeling, or design build environments.
Familiarity with Buildertrend would be a plus!
