Office Coordinator – Home Care

Job Type: Full-Time 8:30am to 5:00pm
Department: Administration

Position Overview

We are seeking a reliable, organized, and professional Office Coordinator to support the daily operations of our home care office. This position plays an important role in keeping the office organized, assisting with human resources and employee-related tasks, and providing excellent customer service to clients, families, caregivers, applicants, and other members of the community.

The Office Coordinator will serve as a key point of contact for the office and will help ensure that administrative and HR processes are handled accurately, efficiently, and professionally.

This position does not include caregiver scheduling.

Key ResponsibilitiesOffice Administration

Coordinate and support the day-to-day administrative operations of the office.
Answer phone calls, respond to emails, and assist visitors in a professional and welcoming manner.
Maintain organized electronic and paper records.
Perform data entry, filing, scanning, copying, and document management.
Prepare letters, forms, reports, and other office documents as needed.
Monitor office supplies and assist with ordering supplies when necessary.
Maintain accurate and up-to-date information in company systems.
Assist management and other office staff with administrative tasks and special projects.

Human Resources Support

Assist with the recruitment and onboarding process for caregivers and office employees.
Review applications and assist with collecting required employment documents.
Communicate with applicants regarding missing information and required documentation.
Assist with background checks, employment verification, and onboarding paperwork.
Maintain accurate and confidential employee records.
Help monitor employee files for required documents, certifications, licenses, and other compliance requirements.
Assist with employee communication and general HR-related questions.
Support management with other HR administrative responsibilities as needed.

Customer Service

Provide professional and compassionate customer service to clients and their families.
Answer questions and provide general information regarding company services and procedures.
Respond to client, family, caregiver, and applicant inquiries in a timely manner.
Listen to concerns and make sure issues are directed to the appropriate team member.
Follow up on requests and help ensure that concerns are addressed appropriately.
Maintain a positive and professional relationship with clients, families, caregivers, and applicants.
Represent the company in a professional and respectful manner at all times.

Qualifications

Previous experience in office administration, customer service, human resources, healthcare, or a related field preferred.
Home care or healthcare office experience is a plus.
Strong verbal and written communication skills.
Excellent organizational and time-management skills.
Strong attention to detail and accuracy.
Comfortable working with computers, email, Microsoft Office, and electronic record systems.
Ability to handle confidential employee and client information.
Professional, dependable, and compassionate.
Ability to multitask and work independently while also being a team player.
Strong problem-solving and interpersonal skills.
