Full Job Description

Position Overview

We are seeking an experienced Senior Site Manager to lead a three-person office services team at the largest office in a 13-location legal services account. This highly visible position will serve as the operational right-hand and designated successor to the Senior Services Operations Manager.

The Senior Site Manager will oversee daily site operations, team performance, customer satisfaction, service-level agreement (SLA) compliance, and operational reporting. The position will also provide remote leadership and operational support to smaller locations throughout the account.

The ideal candidate is a confident, customer-focused leader who can manage high-volume business-support services, coach employees, resolve escalations, analyze performance data, and build trusted relationships with office leadership and key stakeholders.

Schedule and Flexibility

The standard schedule is approximately 8:30 a.m.–5:30 p.m. The location operates from 7:30 a.m.–6:00 p.m., so schedule flexibility is required. The Senior Site Manager may occasionally adjust their schedule or work extended hours to accommodate operational needs.

Key Responsibilities

Lead, coach, train, and develop a three-person onsite office-services team.
Manage daily operations while maintaining high standards for service quality, productivity, accuracy, and professionalism.
Serve as the primary backup to the Senior Services Operations Manager.
Provide remote leadership and operational support across a 13-location account.
Monitor SLA performance, service metrics, staffing levels, workflows, and customer satisfaction.
Prepare and present monthly performance reports, operational metrics, and business reviews.
Manage customer relationships and serve as a trusted point of contact for office leadership and key stakeholders.
Respond to service issues and escalations with urgency, sound judgment, and professionalism.
Oversee high-volume workflows involving digital mail, scanning, production printing, records, mail services, and related office-support functions.
Support single-person and small remote locations, ensuring consistent procedures and service standards.
Identify operational risks, workflow gaps, and opportunities for process improvement.
Implement corrective actions and follow through until service issues are fully resolved.
Conduct employee coaching, performance management, cross-training, and development activities.
Coordinate priorities across multiple locations and maintain consistent communication with remote employees.
Ensure compliance with customer requirements, operating procedures, safety standards, and contractual expectations.
Use technology and operational data to improve performance and support informed decision-making.

Required Qualifications

High school diploma or GED.
At least five years of experience in operations, office services, facilities, workplace services, managed services, or a related field.
Five or more years of customer-facing experience.
Proven experience leading employees, including coaching, training, performance management, and professional development.
Experience supporting multiple locations, remote teams, or geographically dispersed employees.
Experience managing service delivery within an SLA- and metrics-driven environment.
Demonstrated success overseeing high-volume operational workflows such as digital mail, scanning, production printing, records management, mail services, or related business-support functions.
Advanced proficiency with Microsoft 365, particularly Excel, Outlook, Teams, and PowerPoint.
Strong analytical, organizational, and complex problem-solving abilities.
Ability to interpret operational data, prepare reports, and present findings to leadership.
Excellent written and verbal communication skills with executive-level professionalism.
Ability to manage competing priorities, make sound independent decisions, and respond effectively to escalations.
Strong technical aptitude and the ability to learn and support workplace technology.
Ability to present information confidently to small and large groups.

Preferred Qualifications

Two or more years of formal managerial experience.
Experience within a law firm, professional-services organization, financial-services company, healthcare organization, or corporate headquarters.
Experience supporting digital-mailroom, production-printing, and scanning operations.
Experience managing customer-facing services for an office of 100 or more employees.
Experience supporting single-person or small remote-site operations.
Previous experience with Ricoh, Xerox, Canon, CBRE, ISS, Sodexo, Aramark, Iron Mountain, Williams Lea, Epiq, or a similar managed-services organization.

Physical and Work Requirements

Work is primarily performed in a professional office environment with standard lighting, ventilation, temperature, and noise levels.

The position may require extended periods of standing or walking.
Must be able to bend, reach, stretch, climb, and perform similar physical activities as needed.
Must be able to lift or move materials weighing up to 50 pounds.
Requires regular use of a computer, keyboard, calculator, basic hand tools, and other office equipment.

Interview Process

The selection process is expected to include three stages:

A 30-minute initial interview conducted by phone or Microsoft Teams.
A second-round in-person interview of approximately one hour.
A final client meet-and-greet for candidates who successfully complete the second round.

No driving is required for this position.
Parking expenses are the contingent worker’s responsibility. Employer-provided parking may become available if the employee converts to a permanent position.
This position requires flexibility, professionalism, and the ability to maintain excellent service across a fast-paced, multi-location legal-services account.

Pay: $32.00 per hour
