Position Overview
We are seeking an experienced, highly organized Accounting & Human Resources Specialist to support both the financial and people operations of our growing organization.
This is a blended role, with approximately 65–70% of the position focused on accounting and payroll responsibilities and 30–35% focused on Human Resources.
On the accounting side, this position will manage day-to-day accounting activities, customer collections, vendor invoice entry, payroll processing, reconciliations, and financial record accuracy.
On the HR side, this position will support recruiting, onboarding and offboarding, employee documentation, benefits administration, personnel records, and day-to-day employee support.
This is a hands-on position for someone who enjoys working with both numbers and people and is comfortable balancing deadlines, confidential information, employee needs, and financial responsibilities.
The position works closely with our accounting team and company leadership and plays an important role in keeping both our financial and employee operations organized, accurate, and efficient.
Key ResponsibilitiesAccounting & Payroll — Approximately 65–70%
- Manage daily accounting operations, including invoice entry, expenses, deposits, and account reconciliations.
- Serve as the primary payroll processor using ADP, ensuring payroll is accurate, complete, and processed on time.
- Review employee timekeeping and payroll information for accuracy prior to processing.
- Handle customer collections, including follow-up on outstanding balances and payment processing.
- Maintain accurate financial records and account information in QuickBooks Online.
- Enter and maintain vendor invoices and support accounts payable processes.
- Assist with account reconciliations and identifying discrepancies requiring correction.
- Support the preparation of accurate financial reports in collaboration with the accounting team and leadership.
- Communicate professionally with customers and internal teams regarding invoices, balances, payments, and other financial matters.
- Maintain organized financial documentation and records.
- Assist leadership with financial, administrative, and operational projects as needed.
Human Resources — Approximately 30–35%
- Coordinate recruiting activities, including job postings, candidate communication, interview scheduling, and applicant tracking.
- Support the hiring process from candidate selection through the employee's first day.
- Prepare offer letters, new-hire paperwork, and onboarding documentation.
- Coordinate employee onboarding to ensure new hires have completed required documentation and are properly entered into company systems.
- Maintain accurate and confidential employee personnel files and HR records.
- Process employee changes, including compensation updates, position changes, status changes, and terminations within applicable systems.
- Support employee offboarding and ensure required documentation and administrative steps are completed.
- Assist with employee benefits enrollment, changes, and general benefits questions.
- Serve as a resource for employees regarding routine HR, payroll, benefits, and policy questions.
- Maintain employee documentation related to attendance, corrective actions, performance documentation, and other personnel matters.
- Assist leadership with documentation related to employee coaching and performance management.
- Support compliance with company policies and applicable federal, Washington, and Oregon employment requirements.
- Help maintain and update company policies, employee documentation, job descriptions, and HR processes.
- Maintain confidentiality and professionalism when handling sensitive employee and company information.
- Partner with leadership to improve HR processes as the organization continues to grow.
Qualifications & ExperienceRequired
- Minimum 3+ years of accounting, bookkeeping, payroll, HR administration, or related professional experience.
- Strong accounting and financial knowledge.
- Experience processing or supporting payroll.
- Experience with customer collections and payment follow-up.
- Strong attention to detail and ability to manage transactional work accurately.
- Strong organizational and documentation skills.
- Excellent written and verbal communication skills.
- Ability to handle confidential employee and financial information with discretion.
- Comfortable having professional conversations regarding payments, payroll, policies, and employee matters.
- Ability to prioritize competing responsibilities and meet deadlines in a fast-paced environment.
- Ability to work effectively with employees, managers, and senior leadership.
- Must be based in Spokane, WA, or the surrounding area.
Strongly Preferred
- QuickBooks Online experience.
- ADP payroll and/or HR experience.
- Previous HR coordination, HR administration, or employee onboarding experience.
- Experience with recruiting and applicant management.
- Experience with benefits administration.
- Working knowledge of Washington and Oregon employment practices.
- Experience supporting senior leadership or executive teams.
- Experience working within a growing construction, home improvement, or service-based organization.
