Full Job Description

Job Summary: The Radiology Scheduler serves as the primary point of contact for patients and referring providers to coordinate outpatient diagnostic imaging appointments. This position is responsible for accurately scheduling imaging studies, ensuring necessary patient and insurance information, verifying exam requirements, and ensuring a positive patient experience. The Scheduler plays a vital role in optimizing schedules, maximizing resource utilization, and supporting efficient clinical operations.

Days: Monday - Friday Hours: 9:00am - 5:00pm

Major Job Functions:

Schedule outpatient imaging examinations including MRI, CT, X-ray, Ultrasound, Mammography, DEXA, Nuclear Medicine, and other diagnostic procedures.
Answer incoming calls professionally and respond to patients and referring providers inquiries.
Collect and verify patient demographic, insurance, and physician information.
Review physician orders for completeness and accuracy.
Confirm medical necessity requirements and obtain prior authorizations when applicable or coordinate with authorization staff.
Educate patients regarding exam preparation instructions, arrival times, and required documentation.
Coordinate appointments based on exam protocols, equipment availability, and radiologist requirements.
Reschedule appointments as needed while minimizing schedule disruptions.
Maintain accurate scheduling records within the electronic medical record (EMR) and radiology information system (RIS).
Communicate effectively with technologists, radiologists, front desk staff, referring offices, and patients to resolve scheduling issues.
Verify insurance eligibility according to organizational policies.
Ensure compliance with HIPAA and all patient confidentiality regulations.
Monitor scheduling work queues via multiple avenues and respond promptly to urgent requests.
Assist with patient reminders, cancellations, waitlists, and appointment confirmations.
Identify opportunities to improve scheduling efficiency and patient satisfaction.
Perform other miscellaneous duties as requested.

Specifications:

Education: High School Diploma
Experience: Minimum of 1 year customer service or equivalent preferred.
Certification/License/Registration: NONE
Position Titles and Number Supervised: NONE
Special Training/Skills: Must have excellent organizational, communication and interpersonal skills. Must possess excellent phone etiquette. Must possess the ability to work alone. Must be discreet with all confidential information.
Physical Demands: Must have visual acuity and manual dexterity to handle mail loads.
Working Conditions: Works in a clean spacious, well lighted medical facility office. Sits, stands and walks intermittently throughout the day. Must stoop and bend in the course of job performance.
Other (Operational Excellence): Employee must be aware of and fully support all practice policies and procedures.
Must have demonstrated ability to deliver services to physicians, patients and fellow employees with compassion and in a responsive, courteous and concerned manner.
