Full Job Description

Outpatient Physical Therapy Referral Coordinator Position

The Referral Coordinator is responsible for managing the referral and authorization process for outpatient physical therapy services from initial receipt through scheduling and completion. This position serves as an important connection between patients, physicians’ offices, insurance companies, and the clinical team to ensure referrals are processed accurately, efficiently, and without unnecessary delays.

The ideal candidate is highly organized, dependable, detail-oriented, and comfortable communicating with patients, medical providers, and insurance representatives in a professional and compassionate manner.

Essential Duties & Responsibilities

Referral Management

Receive, review, and process physical therapy referrals from physicians, healthcare providers, hospitals, and other referral sources.
Verify that referrals contain all required information, including diagnosis, treatment orders, provider information, and patient demographics.
Enter referral information accurately into the practice management/EHR system.
Monitor referral status and follow up on incomplete, missing, or expired referrals.
Communicate with referring providers’ offices to obtain required documentation, signatures, or updated orders.
Ensure referrals are appropriately routed to the correct clinic and/or scheduling team.

Insurance & Authorization Coordination

Verify patient insurance benefits and physical therapy coverage as needed.
Determine whether prior authorization, precertification, or additional documentation is required.
Submit authorization requests and supporting documentation to insurance carriers.
Track authorization status, visit limits, expiration dates, and approved visits.
Communicate authorization requirements and limitations to appropriate clinical and administrative staff.
Follow up with insurance companies regarding pending or delayed authorizations.
Maintain accurate documentation of authorization activity.

Patient Communication & Scheduling Support

Contact patients regarding referral status, required information, and scheduling.
Assist patients with understanding the referral and authorization process.
Coordinate with scheduling staff to facilitate timely appointments once referral requirements are met.
Respond professionally to patient questions and concerns and escalate issues when appropriate.
Provide excellent customer service while maintaining patient confidentiality.

Administrative Responsibilities

Maintain accurate and organized referral records.
Monitor outstanding referrals and follow up to prevent delays in patient care.
Identify potential issues that could prevent a patient from beginning or continuing therapy and communicate them promptly.
Assist with medical records requests and documentation as needed.
Work closely with therapists, clinic managers, front office staff, billing, and intake personnel.
Maintain knowledge of payer requirements, referral procedures, and company policies.
Perform other administrative duties as assigned.

Qualifications

High school diploma or equivalent required.
Previous experience in a medical office, physical therapy, healthcare, referrals, insurance verification, or authorization role preferred.
Knowledge of medical terminology and healthcare documentation preferred.
Experience working with insurance companies and/or electronic medical records is highly desirable.
Strong computer and data-entry skills.
Excellent verbal and written communication skills.
Strong organizational skills and attention to detail.
Ability to manage multiple priorities and meet deadlines.
Ability to work independently while functioning effectively as part of a team.
Professional, courteous, and patient-focused demeanor.

Preferred Skills

Experience with outpatient physical therapy referrals and authorizations.
Familiarity with Medicare, commercial insurance, workers’ compensation, and other third-party payers.
Knowledge of insurance verification and prior authorization processes.
Familiarity with EHR/practice management systems.
Strong follow-up skills and the ability to identify problems before they impact patient care.

Outstanding referrals are followed up on in a timely manner.
Patients receive clear and professional communication.
Referral documentation remains accurate, complete, and organized.

Physical & Work Environment

This position is primarily performed in an outpatient healthcare/office environment. The employee may spend extended periods sitting, using a computer, communicating by telephone, and performing repetitive administrative tasks. Occasional movement between work areas may be required.

Pay: $17.00 - $19.50 per hour
