Full Job Description

PsyGenics is seeking a full-time Human Resource/Payroll Assistant for its Roseville office. The position is onsite and the hours are Monday - Friday from 8:30AM - 5:00PM.

Qualifications

Must possess at least an associate’s degree with three years’ experience in payroll and proven ability to maintain the strictest confidentiality. Must have police and DHS clearance. Additional requirements include: use of personal cellphone, having a nonjudgmental approach that reflects cultural competency and sensitivity to the unique needs and diverse experiences of individual families.

Specific Responsibilities

Perform general office duties such as filing, answering telephones, faxing, preparing routine correspondence and other administrative tasks such as ordering and organizing office supplies, loading postage in postage machines and handling post office and banking functions.
Responsible for proficiently utilizing computer software to record, store, and analyze information including but not limited to Microsoft Suite, accounting software and various Human Resource solutions.
Maintenance of an accurate and assessable filing system for all corporate records consistent with record retention policies within management protocol.
Coordinate and facilitate Administrative Office repairs and necessary upgrades to avoid disruption in service.
Ensure all procurement requests are completed with required authorization.
Process and print accounts payable checks as instructed by management.
Communicates directly with company vendors regarding consumables and services in an attempt to resolve any issues including orders, delivery and invoicing.
Assist in processing year-end required forms such as Federal Form 1099/1096 and W-2s/W-3s.
Responsible for accurate and timely completion of monthly bank reconciliation,
Verify timekeeping and employee records and process payroll.
Ensure personnel and payroll records are complete and in compliance with applicable PsyGenics’ policies, State and Federal laws, and other relevant regulatory bodies and taxing authorities.
Assist with the gathering of information to facilitate and prepare for site visits as requested by independent auditors and/or accredited agencies.
Work in conjunction with Chief Business Officer to maintain employee personnel files, payroll records, and other required Human Resource files and assures proper retention.
Work with Chief Business Officer on staff training program and documentation.
Assist with position postings, interviewing, onboarding, candidate selection and conditional offers, as well as rejection letters.
Track benefits program enrollments and terminations. Ensure accuracy in payroll system.
Perform 45-day new hire check-ins with all newly hired staff, complete report on findings.
Maintain employee credential spreadsheet.
Assist with corporate policy updates.
Promptly respond to employee questions regarding benefits, payroll, paid time off.
Assist in preparing documents for internal meetings as necessary.
Participate in audits by gathering and uploading requested deliverables.
Gather required documentation from employees, including but not limited to driver’s licenses, proof of auto insurance, professional licenses, training certificates.
Monitor employee training transcripts to ensure training does not lapse.
Run annual and monthly backgrounds checks, run new hire background checks.
