Overview
We are seeking a dynamic and detail-oriented Project Coordinator-Assistant Project Engineer (Construction) to join our team and contribute to the successful delivery of complex construction projects.
In this role, you will support project management teams by coordinating activities, assisting with project planning, and ensuring smooth communication. This position offers an exciting opportunity to develop your construction industry expertise while working on diverse civil engineering projects that demand precision, organization, and proactive problem-solving.
The ideal candidate must have experience coordinating project activities, maintaining documentation, tracking schedules and deliverables, and working closely with Project Managers, Engineers, contractors, and other projects.
General Description: The Project Coordinator provides technical and project coordination support throughout the pre-construction phase and, as assigned, during construction activities for hospitality, luxury residential, recreational, and mixed-use development projects.
The position supports the Project Manager and project team in coordinating design and engineering activities, maintaining project controls and documentation, monitoring schedules and milestones, supporting procurement and permitting activities, and facilitating communication among the Owner, consultants, contractors, permitting agencies, and internal project personnel.
The Project Coordinator, is expected to develop a strong working knowledge of construction drawings, specifications, project schedules, RFIs, submittals, change documentation, and project management systems such as Procore. As project needs evolve, the position may also support field coordination, construction progress monitoring, QA/QC documentation, and other construction-phase activities under the direction of the Project Manager or designated technical lead.
General Critical Tasks & Responsibilities:
- · Support the Project Manager in the planning, coordination, and execution of assigned project activities.
- · Coordinate activities among architects, engineers, consultants, contractors, Owner representatives, and internal project personnel.
- · Maintain project logs, action items, decision records, meeting minutes, and other project controls documentation.
- · Monitor project schedules, milestones, deliverables, and pending decisions, and promptly identify potential delays or coordination issues.
- · Assist with the review and tracking of drawings, specifications, RFIs, submittals, shop drawings, and other project documentation.
- · Support design coordination, constructability reviews, permitting activities, and resolution of interdisciplinary coordination issues.
- · Maintain project information and documentation in Procore, SharePoint, and other designated project management systems.
- · Support procurement activities, including bid documentation, proposal comparisons, scope reviews, and related coordination.
- · Assist in the preparation of project status reports, dashboards, presentations, and other management deliverables.
- · Track project risks, issues, commitments, and follow-up actions through resolution.
- · Participate in project meetings and field visits as required, documenting observations, decisions, and follow-up items.
- · As assigned, support construction-phase coordination, progress monitoring, QA/QC documentation, and field reporting activities.
Required / Preferred Competencies and Qualifications (technical, academic, experience, values, behaviors):
- · Academic: Bachelor’s degree in Engineering, Construction Management, Architecture, or a related technical field.
- · Experience: Minimum of five (5) years of progressively responsible experience in construction, engineering, project management, or project coordination, including significant direct field experience on active construction projects.
- · Comparable Project Experience: Demonstrated experience on hospitality, luxury residential, resort, recreational, commercial, mixed-use, or comparable complex development projects involving multiple consultants, contractors, disciplines, and stakeholders.
- · Project Size and Value: Experience supporting medium to large-scale capital construction projects, preferably projects or individual construction packages with values of $20 million or greater.
- · Scope of Experience: Experience should include meaningful involvement in both project management and field activities, including design and construction coordination, schedule monitoring, document control, RFIs and submittals, change management, progress tracking, QA/QC coordination, contractor interfaces, and project reporting.
- · Field Experience: Demonstrated ability to monitor construction progress, identify field and coordination issues, document site conditions, and coordinate directly with contractors, consultants, and Owner representatives.
- · Technical Knowledge: Strong working knowledge of construction drawings, specifications, schedules, RFIs, submittals, shop drawings, change documentation, and construction administration processes.
- · Project Controls: Working knowledge of scheduling, action-item tracking, issue and risk logs, document control, cost/change tracking, and project status reporting.
- · Software: Proficiency in Microsoft Office applications, including Excel, Word, PowerPoint, and Project or equivalent scheduling software.
- · Communication: Effective written and verbal communication skills in English and Spanish, including preparation of meeting minutes, reports, status updates, and technical correspondence.
- · Management Skills: Strong organizational, analytical, problem-solving, time management, accountability, teamwork, and communication skills.
- · Field Availability: Ability to work effectively in both office and field environments and perform regular project site visits as required.
Desired Competencies and Qualifications (experiences, training, etc. is a plus but not required):
- · Professional Engineer (PE), Engineer in Training (EIT), Registered Architect (RA), or equivalent professional credential preferred.
- Must be fully bilingual in English and Spanish with strong verbal and written communication skills in both languages.
- · PMP certification preferred.
- · OSHA 30-Hour certification preferred.
- · Experience with Procore, SharePoint, Bluebeam, or comparable project and document management platforms.
- · Experience with luxury hospitality finishes, amenity spaces, sales centers, condominium common areas, coastal/resort development, and high-visibility Owner reporting.
- · Executive presence and proven client relationship management with owners, developers, financial stakeholders, designers, contractors, and permitting agencies.
- · Demonstrated capacity to assume progressively greater responsibility in technical coordination, construction management, field operations, and project decision support.
