Community Director
Build-to-Rent / Townhome Community | Full-Time | Monday–Friday, Weekends as Needed
Overview
A well-established all-conventional build-to-rent community is seeking a highly motivated, independent, and service-driven Community Director to oversee daily operations.
This position is best suited for a hands-on property management professional who is confident running a solo office or working with limited onsite support, including one maintenance team member or part-time maintenance support. The ideal candidate can take ownership of the community, manage priorities independently, and deliver a polished resident experience every day.
The Community Director will serve as the primary point of contact for residents, prospects, vendors, ownership, and support teams. This role requires strong leasing ability, excellent customer service, confidence with reporting and financial tasks, strong marketing follow-through, and proficiency in Yardi.
Key Responsibilities
Daily Operations & Leasing
- Oversee all day-to-day operations of the community, including leasing, resident relations, administrative functions, maintenance coordination, vendor management, and overall community presentation.
- Maintain strong occupancy performance, with a goal of achieving and maintaining 95% occupancy.
- Conduct professional property tours and provide timely, polished follow-up with prospects.
- Manage the full application process, including screening coordination, approvals, lease preparation, and move-in communication.
- Prepare and execute lease agreements in accordance with Fair Housing guidelines and company standards.
- Manage the full resident lifecycle, including move-ins, renewals, resident communication, notices, service coordination, and move-outs.
- Develop and maintain strong resident relationships through exceptional service, professional communication, and timely follow-up.
- Implement renewal and retention strategies that support occupancy goals, resident satisfaction, and long-term community performance.
Marketing & Leasing Performance
- Manage leasing activity, marketing follow-up, lead response, advertising updates, outreach efforts, and prospect communication.
- Ensure online listings, pricing, availability, photos, and marketing information are accurate and current.
- Track leasing traffic, follow-up activity, conversion, occupancy trends, and renewal opportunities.
- Identify opportunities to improve exposure, increase qualified traffic, and support occupancy goals.
- Represent the community professionally through phone calls, email communication, tours, resident interactions, and vendor relationships.
- Maintain a strong sense of urgency with lead management, follow-up, and closing.
Yardi, Administrative & Financial Management
- Must be proficient in Yardi and comfortable using the system daily for resident accounts, leasing, work orders, reporting, notices, move-ins, renewals, and move-outs.
- Maintain accurate and organized records within Yardi, including resident files, ledger notes, reporting, data entry, lease documents, and contract/vendor information.
- Complete required weekly reporting, month-end close tasks, delinquency follow-up, renewal tracking, and monthly financial reporting with accuracy and attention to detail.
- Assist with annual budget preparation by gathering data, reviewing trends, and making thoughtful recommendations.
- Monitor delinquency, collections, deposits, charges, concessions, renewals, and resident account accuracy.
- Ensure compliance with landlord-tenant laws, Fair Housing regulations, company policies, and operational standards.
- Maintain organized files, reports, notices, vendor documents, lease records, and resident communication.
Maintenance Coordination
- Partner with one maintenance team member or part-time maintenance support to schedule work orders, prioritize resident needs, and maintain community standards.
- Monitor work order activity, vendor performance, quote requests, repairs, projects, and follow-through to completion.
- Conduct regular property inspections to support cleanliness, safety, curb appeal, and overall asset quality.
- Communicate clearly with residents regarding maintenance updates, access needs, timelines, and service expectations.
- Hold vendors and maintenance support accountable for timely, professional, and high-quality work.
- Help prioritize maintenance needs based on urgency, resident experience, budget impact, and property standards.
Community Standards & Resident Relations
- Address resident concerns, service issues, and conflicts with professionalism, empathy, and fairness.
- Promote a welcoming, well-managed community environment that encourages resident satisfaction and pride.
- Maintain strong curb appeal, community standards, signage, office presentation, and overall property appearance.
- Support company initiatives, marketing efforts, outreach opportunities, reporting needs, and special projects as assigned.
- Serve as the primary onsite leader and point of contact for residents, vendors, prospects, ownership, and support teams.
Qualifications
- Previous property management experience is required.
- Experience running a solo office, small community, or limited-staff property is strongly preferred.
- Must be comfortable working independently and managing leasing, resident relations, maintenance coordination, reporting, marketing, and administrative responsibilities with minimal onsite support.
- Proficiency in Yardi is required.
- Strong marketing, leasing, follow-up, and closing skills are required.
- Strong understanding of Fair Housing requirements, landlord-tenant law, resident communication, and property management best practices.
- Excellent customer service, written communication, phone etiquette, and professional presence.
- Highly organized, detail-oriented, and able to prioritize multiple responsibilities independently.
- Ability to work with autonomy, accountability, urgency, and sound judgment in a fast-paced environment.
- Strong administrative skills, including reporting, filing, data entry, resident communication, delinquency follow-up, renewals, and general office operations.
- Experience with vendor management, work order coordination, inspections, and community standards is preferred.
- Ability to take ownership of the property’s performance, presentation, resident experience, and daily operations.
