Job Overview
We are seeking an energetic and highly organized Front Desk Receptionist to be the welcoming face of our office. In this vital role, you will serve as the first point of contact for patients and family members, ensuring a smooth and professional experience from the moment they walk through the door. Your proactive approach and exceptional communication skills will help maintain an efficient office environment, support administrative operations, and foster positive relationships with everyone who enters our space.

Duties

Greet visitors and clients warmly, providing excellent customer service and ensuring they feel welcomed and valued
Manage multi-line phone systems, answer referrals and inquiries promptly, and direct calls to appropriate staff members with professionalism and courtesy
Handle incoming and outgoing mail, packages, and deliveries efficiently
Maintain a clean, organized reception area and ensure all office supplies are stocked and accessible
Schedule appointments, manage calendars, and coordinate treatment
Perform data entry tasks such as updating contact lists, maintaining filing systems, and inputting information into databases
Support administrative functions such as filing, photocopying, scanning, and maintaining records for easy retrieval
Demonstrate excellent phone etiquette while handling inquiries from clients or vendors
Utilize strong organizational skills to prioritize tasks effectively in a fast-paced environment

Experience

Previous office or administrative experience is required, ideally within a customer service or receptionist role in a professional setting such as healthcare or dental offices
Proven proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook)
Strong organizational skills with the ability to multitask efficiently while maintaining attention to detail
Excellent communication skills—both verbal and written—and the ability to demonstrate professionalism in all interactions
Experience managing multi-line phone systems and demonstrating proper phone etiquette is essential
Bilingual abilities are highly desirable to serve diverse client needs effectively
Knowledge of office management practices including filing systems, proofreading documents, calendar management, and clerical procedures is preferred
Familiarity with medical or dental receptionist duties is a plus but not mandatory
