Job Overview
We are seeking a dynamic and highly organized Office Manager with strong accounting experience to lead our administrative operations and ensure the smooth functioning of our office environment. This pivotal role involves overseeing daily office activities, managing administrative staff, coordinating vendor relationships, and supporting team members across various departments. The ideal candidate will bring energy, efficiency, and a proactive approach to office management, fostering a productive and welcoming workplace. This paid position offers an exciting opportunity to develop leadership skills and contribute to the overall success of our organization.

Responsibilities

Oversee daily office operations, including front desk management, multi-line phone systems, and greeting visitors with professional phone etiquette.
Manage schedule coordination for staff meetings, appointments, and company events through effective calendar management.
Supervise administrative staff, providing training & development opportunities to enhance team performance.
Coordinate vendor management activities, including negotiating contracts, processing invoices, and maintaining supplier relationships.
Handle bookkeeping tasks such as filing, record keeping, and utilizing QuickBooks for financial transactions and expense tracking.
Support human resources functions by assisting with onboarding, employee records management, payroll processing, and compliance documentation.
Organize company events and meetings through event planning expertise to promote team engagement and morale.
Maintain budgeting responsibilities by monitoring office expenses and ensuring cost-effective operations.

Requirements

Proven experience in office management or administrative roles with strong accounting skills.
Supervising experience with the ability to lead and motivate a team effectively.
Proficiency in QuickBooks or similar accounting software for bookkeeping and payroll tasks.
Excellent communication skills with professional phone etiquette and customer service orientation.
Strong scheduling management skills to coordinate multiple calendars seamlessly.
Experience in vendor management, contract negotiation, and budget oversight.
Knowledge of human resources processes including onboarding, employee records maintenance, and training & development initiatives.
