Consulting civil engineering firm located in central Connecticut a has a position available for an experienced secretary/bookkeeper/office manager.
Job Overview
This position will require you to manage numerous day-to-day activities which include but are not limited to the following: scheduling appointments, managing accounts payable and receivables (including invoicing) answering phone and email queries, track office expenses, maintain accurate records, manage Human Resources, Process Payroll, track project costs.
Word processing - typing correspondence, reports, invoices, etc
In addition to this, you should have excellent multitasking skills and the ability to prioritize and assign tasks. Having strong communication skills will prove to be an advantage.
Microsoft Excel and QuickBooks proficiency is a must.
Responsibilities
Greeting visitors and responding to telephone & email queries
Tracking and reporting hours to payroll
Scheduling appointments and meetings
Manage accounts payables, receivables, and payroll
Banking functions including bank reconciliations for various accounts including operating, pay roll, escrow.
Manage and comply with local, state and federal government reporting requirements and tax filing.
Maintaining and updating contact details of employees, clients and vendors
Regularly updating our software systems, Quickbooks, BillQuick
Process Payroll, Make weekly payments of State and Federal witholding taxes and unemployment taxes
Analyzing and processing bill payments and invoices.
Developing, updating, and implementing office procedures and protocols
Regularly update and disseminate the company’s policies and procedures as established in the employee handbook.
Reviewing and ordering office supplies
Sending, tracking, and managing new and existing contracts
Taking photocopies and printouts of important documents
Assisting in setting up repairs/maintenance appointments for company equipment
Qualifications
5 years minimum experience as a Secretary, Administrative Assistant, Bookkeeper, Accountant
Associates Degree or B.A. in Accounting
Quickbooks Certification
Solid understanding of accounting and bookkeeping principles
Proficiency in Quickbooks, BillQuick, Excel, Word and related software
Excellent time management and organizational skills
Excellent written and verbal communication skills.
Ability to multitask and prioritize tasks
Good communication and interpersonal skills
Ability to work independently and collaboratively
Detail-oriented and highly reliable individual
Strong client service skills
Engineering firm experience a plus
