Job Summary

We are seeking an energetic and detail-oriented Part-Time Office Assistant to join our MEP Engineering Firm! This role offers a fantastic opportunity to support daily office operations, enhance organizational efficiency, and provide exceptional customer service. The ideal candidate will be proactive, highly organized, and possess strong computer skills to manage administrative tasks seamlessly. This position is perfect for someone looking to gain valuable office experience while contributing to a positive and productive work environment.

Job Type:

Part-time, with the opportunity to transition to a full-time position after a six-month evaluation period.

Duties

Greet visitors at the front desk with professionalism and friendly customer service
Manage multi-line phone systems, directing calls accurately and courteously
Handle data entry tasks with precision using Microsoft Office and Google Workspace tools
Maintain filing systems, both digital and physical, ensuring confidentiality and easy retrieval of documents
Assist with bookkeeping duties using QuickBooks, including invoicing and expense tracking
Support office management activities such as calendar scheduling, appointment setting, and supply inventory management
Proofread correspondence, reports, and other documents for accuracy and clarity
Provide general clerical support including photocopying, scanning, and mailing
Assist employees with general office-related needs
Run errands on behalf of the office as needed
Perform additional office duties as they arise

Experience

Prior office or administrative experience is preferred but not required
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications and Bluebeam
Experience with QuickBooks or similar bookkeeping software is a plus
Excellent organizational skills with the ability to prioritize tasks effectively
Bilingual abilities are highly valued to assist diverse client needs
Demonstrated customer service skills with a professional phone etiquette and excellent communication abilities is mandatory
Ability to handle confidential information responsibly and discreetly
Strong typing skills along with attention to detail for proofreading and data entry tasks
Experience in office management or personal assistant roles is advantageous but not mandatory
Ability to manage multiple responsibilities in a professional setting
Reliable transportation for occasional errands (mileage will be reimburse)
Punctual, professional, and dependable demeanor is mandatory

Schedule:

Monday through Friday, 8:00 AM to 2:00 PM (Max. 30 hours per week) initially, with potential increase to 40 hours per week after six months.

Additional Information:

This position begins part-time with the possibility of transitioning to full-time employment based on performance and business needs after a six-month evaluation period.

Pay: From $10.00 per hour

Work Location: In person
