Full Job Description

Overview

The Contract Administrator is a dedicated support role responsible for managing and maintaining the accuracy of the service contract CRM database, and administrating the procedural requirements for the service contract lifecycle to include (but not limited to) Purchase Orders (PO), renewals, waivers, etc.

Essential Responsibilities and Duties

Collaborate with Sales and Support team members to pursue service opportunities while receiving strategic guidance from appropriate Sales Manager(s) regarding the opportunities and maintaining alignment with Sales and Support Operations processes and priorities as directed by the Manager of Sales Operations.
Manage the annual purchase orders (POs), fair market price, and contract renewal process.
Provide Sales Manager(s) with historical context and relevant details in advance of contract renewals to support successful renewal process outcomes.
Manage the annual Employment Cost Index (ECI) service contract price increase process and provides insight to achieve the best outcome for Member organizations.
Facilitate the submission and approval process of service contracts through communication with the Department of General Services (DGS) of the Commonwealth, the customer, and Member organizations.
Follow directed advertising efforts and tracks new opportunities and expansions of current service lines.
Maintain detailed files, data, and documentation on all service contracts within the Customer Relationship Management (CRM) system; and completes regular self-audits to validate accuracy.
Maintain an accurate and updated annual calendar database of all contract key dates and communicates such with the appropriate parties.
Facilitate the PO entry to the accounting software to include initial input and updates for accuracy and ease of use for members and internal departments.
Process requests, quotes, POs and orders, for on-demand or one-time service projects.
Track, analyze, and report service contract metrics.
Provide customer support for POs and other service procurement-related processes.
May serve as the initial point of contact for customer inquiries regarding services.
Perform other duties as assigned.

Required Education and Experience

Minimum of high school diploma or GED
2-5 years of customer service, contracts management, order processing or related.
Experience with CRM and database management.

Preferred Education and Experience

Strong preference for experience working with state or federal offices and understanding billing, contracts, and communications through those offices.

Additional Knowledge, Skills, and Abilities

Experience with contracts including standard verbiage, managing renewal schedules, and updating customers on the details in the agreements.
High proficiency with use of CRM, database management program, order management system or related.
High proficiency with MS Office Suite of products, specifically MS Outlook, Excel, Word, and PowerPoint.
Ability to interact with staff, partners, and the public with a calm and professional demeanor, pleasant and clear tone of voice, and follow through with their requests.
Attention to detail on instructions from team members or partners including taking messages, filing requests, and other administrative requests.
