Full Job Description

We are seeking a detail-oriented and organized full-time Bookkeeper/Office Assistant to manage our company's financial records and support our day-to-day accounting operations. The ideal candidate will have strong bookkeeping experience, excellent organizational skills, and the ability to maintain accurate financial information while meeting deadlines.

Responsibilities

Maintain accurate financial records and general ledger entries.
Record accounts payable and accounts receivable transactions.
Reconcile bank and credit card statements.
Process invoices, payments, and deposits.
Prepare monthly financial reports and account reconciliations.
Assist with payroll processing.
Maintain vendor and customer records.
Support budgeting and financial planning activities.
Prepare documentation for tax filings and audits.
Ensure compliance with company policies and accounting standards.
Any other assigned duties related to office administration, such as answering phones, taking work orders, and helping customers on the floor, etc.

Qualifications

High school diploma or equivalent; Associate's or Bachelor's degree in Accounting, Finance, or a related field preferred.
Bookkeeping or accounting experience preferred.
Proficiency with accounting software.
Strong knowledge of bookkeeping principles and financial reporting.
Excellent attention to detail and organizational skills.
Proficiency in Microsoft Excel and Microsoft Office.
Strong communication and problem-solving abilities.
Ability to handle confidential financial information with discretion.

Preferred Qualifications

Experience in payroll processing.
Knowledge of sales tax and payroll tax requirements.
Bookkeeping or accounting certification is a plus.

Duties

Manage accounts receivable and payable using QuickBooks or similar accounting software, ensuring accurate data entry and timely processing of transactions
Maintain organized filing systems for financial documents, client records, and office supplies
Handle front desk responsibilities including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Support office management tasks such as calendar scheduling, appointment setting, and coordinating meetings using Microsoft Office tools and Google Workspace
Assist with data entry projects, proofreading documents, and preparing reports or spreadsheets to support business operations
Provide exceptional customer service by responding promptly to client inquiries via phone or email, maintaining positive communication and support
Perform general clerical duties including filing, photocopying, scanning, and managing office supplies to ensure a well-organized workspace

Qualifications

Proven experience in office management or administrative roles with strong organizational skills and attention to detail
Proficiency in QuickBooks accounting software and Microsoft Office suite (Word, Excel, Outlook) as well as Google Workspace applications
Excellent computer literacy including data entry, spreadsheet management, word processing, and typing skills
Prior experience in bookkeeping or financial record keeping is highly desirable
Strong communication skills with the ability to handle phone interactions professionally; bilingual abilities are a plus
Familiarity with multi-line phone systems and front desk operations in a professional setting
Demonstrated ability to manage time effectively while handling multiple priorities in a fast-paced environment
Experience working as a dental or medical receptionist or personal assistant is advantageous but not required
