FACTORY COORDINATOR

This position is based out of our Hammond, WI office.

About the Position

Responsible for supporting organized workflow across factory, office, and preproduction functions through scheduling, document control, reporting, task tracking, front-office coordination, and general administrative duties. This position provides a variety of as needed support, including greeting and directing visitors, coordinating information between internal teams, maintaining trackers and records, assisting with production and preproduction documentation, and supporting factory operations. This role helps ensure information, documents, and follow-up items are organized and communicated between employees, vendors, customers, and product team members, in alignment with all Company policies, procedures, key objectives and regulation

Day in the Life.

Ability to assist with the planning and scheduling for product lines.
Coordinate and communicate scheduling of factory floor labor with internal teams.
Completes and submits appropriate paperwork as needed.
Provides product line support and task tracking including purchase orders, sales orders, production set up, and proposal letters.
Ensures accurate and timely tracking information is entered and maintained in appropriate systems and communicates appropriately with production management and other staff members. Issues updated reports as requested.
Supports Product Line Managers with close-out tasks including coordination of final warranty paperwork, verifying last transaction, closing out sales orders, transmitting actual cost and schedule data to the estimating team for use in future product development.
Functions as a primary point of contact for customers requiring service.
Ensures product orders are processed appropriately, products are delivered and ready to be billed.
Assists product management staff with assembling product submittals and writing purchase orders to suppliers and contractors.
Archives completed product information for future reference.
Assists staff with documenting Methods of Procedures (MOPs),
Maintains consistency in content and appearance of written documents.
Assists product managers with budget tracking, customer billing, scheduling, job cost reviews, purchase orders, product status reports, and tracking of inspections, testing, and reporting.
Participate in product status meetings and assist in developing meeting minutes for distribution.
Manages travel arrangements for product team members as needed.
Help process expense reports
Updates processes and procedures, creates checklists and other documents.
Communicates effectively via telephone, email, and face to face with staff, vendors, co-workers, and customers.
Consistently makes decisions in an attentive and safe manner to ensure the safety and health of self and others.
Utilizes LEAN concepts or other continuous improvement methodologies to ensure the most efficient operations, processes, and activities.
Promotes and models the Company mission, vision and values through exercising sound and ethical business practices, championing all elements of diversity, equity, and inclusion (DEI) and providing high quality services and programs as they relate to clients, subcontractors, co-workers, suppliers, and the public.

Minimum Qualifications

High School diploma or equivalent.
Minimum 0-2 years of experience coordinating or a similar role.
Experience providing and coordinating support activities in a fast-paced work environment and organizing large amounts of data into understandable formats. Strong organizational skills, scheduling abilities, and detail orientation.
Effective communication with employees at all levels. Excellent listening, interpersonal, written, and verbal communication skills.
Effective independent problem solving, customer service and time management skills. Strong collaboration, initiative, teamwork, and interpersonal skills. Demonstrated high level of integrity and dependability.
Strong process orientation.
