We're looking for a dynamic, experienced Sales & Marketing Coordinator to support our Sales & Marketing Department in achieving its goals through coordination of sales initiatives, affiliate relationships, marketing communications, reporting, administrative support, and our private charter operations.

Overview
We are seeking a reliable, enthusiastic, and detail-oriented Sales & Marketing Coordinator to support the Sales & Marketing Department revenue, partnership, marketing, and guest experience goals through coordination of sales initiatives, affiliate relationships, marketing communications, reporting, administrative support, and private charter operations.
Key Responsibilities
Department Administration & Reporting
- Assist with creating and updating any reports as needed.
- Generate and distribute recurring sales, marketing, affiliate, and booking reports for leadership and departmental teams.
- Assist with compiling and analyzing data to identify trends and opportunities.
- Create and/or maintain current documents, templates, and sales tools.
- Create and maintain visually appealing sales, marketing, and operational materials, including presentations, flyers, PDFs, proposals, fact sheets, and partner resources.
- Ensure all materials remain current, accurate, and aligned with company branding.
- Assist with monitoring tourism, hospitality, and competitor trends and provide recommendations to management.
- Assist with VIP guests, media, or other special requests in booking, preparing, and following up after tour.
- Maintain and support an organized workspace and file system for both paper and electronic documents.
Partnership & Affiliate Relationships
- Maintain contact virtually and in-person where relevant with on-island partners, vendors, activity desks, concierge, travel agents, hotel staff, etc.
- Build and maintain a relationship as a company representative.
- Ensure companies have any necessary information or marketing materials, resolve any complaints, correct any payment/accounting issues, schedule sales presentations, and respond to requests for promotions, commission changes, etc.
- Deliver important memos or information updates to booking partners.
- Seek out new locations, B&B’s, vacation rentals, racks, etc. where we can be represented and/or sold.
- Present at island orientations and briefings when applicable.
- Assist with maintaining affiliate contracts and log, including current contact information and notes.
- Assist with affiliate onboarding, contract renewals, annual reviews, and relationship management.
- Maintain Certificates of Insurance (COIs), business licenses, and required partnership documentation.
- Make recommendations to Sales Manager to create plans or programs to increase sales based on company/location/agent.
- Assist with creating, executing, managing, and evaluating any promotions or programs.
- Visit on-island rack card displays to ensure our brochures are available according to our contract with fulfillment company.
- Fulfill any vendor requests for info, marketing materials, rate sheets, photos, etc.
- Coordinate distribution of marketing collateral, digital assets, and promotional materials to partners and affiliates.
- Scheduling, preparing, attending, and/or ensuring accurate representation of the company for any requests, events, public relations, or trade shows.
- May require occasional travel within Hawaii or mainland.
- Assist with Travel Agent Tracking, responding to requests for vendor contracts or tour requests; send out follow-up packet of sales info.
Marketing & Communications
- Assist with management of the company's Mailchimp account and email marketing initiatives.
- Create, schedule, test, and distribute email campaigns and newsletters.
- Maintain email subscriber lists and audience segmentation.
- Assist with tracking and reporting email campaign performance.
- Support promotional campaigns, seasonal initiatives, and marketing projects as assigned.
Charter & Group Sales Support
- Manage private charter inquiries, proposals, contracts, payments, and guest communications as assigned.
- Coordinate with internal departments to ensure successful execution of charter experiences.
- Conduct post-tour follow-up with charter guests to strengthen relationships and encourage repeat business.
- Create and maintain documents and templates to streamline the charter process.
- Custom templates for: Direct customers, DMC’s, and Affiliates for each tour.
- Provide clerical support to Group Sales Manager.
- Assist with preparation, execution, and delivery of charter documents such as proposals, instruction sheets, waiver codes, etc.
- Create and maintain charter contacts in Outlook or other systems.
- Be available to assist with greeting charters or conducting site visits.
Position Requirements
- Maintain a flexible schedule, around 30-40 hours per week.
- Priority to be in the office Monday-Friday, 8 am - 3 pm.
- Majority of time in office working independently and with the team, and occasional time out of the office for off-site visits, meetings, and events.
- Appropriate attire always worn when representing Holoholo, logo wear encouraged.
- Submit hours and daily duty log bi-weekly for payroll.
- Must have reliable transportation.
- Read, write, speak, and understand English fluently.
- Keep all documents and company information confidential.
- This position operates in a professional office environment and routinely uses standard office equipment, including computers, phones, and copiers.
Core Competencies:
- Experience with email marketing platforms such as Mailchimp preferred.
- Experience using Adobe Creative Suite, Canva, or similar design software to create professional marketing materials.
- Highly detail-oriented with a strong focus on accuracy and quality.
- Comfortable learning and using multiple software platforms and reservation systems.
- Strong interpersonal skills with the ability to build relationships with guests, affiliates, and industry partners.
- Proficient in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- Experience with major social media platforms and a willingness to continuously learn.
- Creative thinker with the ability to develop innovative ideas and solutions.
- Strong written communication skills with excellent grammar, spelling, and attention to tone.
- Self-motivated with the ability to follow directions, prioritize tasks, and manage time effectively.

Physical Demands
- This role requires the ability to sit, stand, and walk for extended periods; use hands and fingers to operate office equipment; and occasionally reach, bend, stoop, or climb stairs.
- The ability to communicate effectively, including talking and hearing, is required.
- Occasionally, the employee may be required to lift or move items weighing up to 25 pounds.

Details
Job Type: Full-time
Pay: $27 to $31 per hour, based on experience | Mileage reimbursement for work-related travel (in accordance with IRS guidelines)
Schedule: Priority to be in the office Monday-Friday, 8 am - 3 pm. Maintain a flexible schedule, around 30-40 hours per week.
Work Location: In person, Eleʻele, HI 96705. No relocation assistance for this position.
