Job Title: Administrative & Accounting Office Assistant

About Us:

MedRx Infusion Clinical Pharmacy is a patient-focused pharmacy dedicated to delivering high-quality, compassionate care. We are seeking a reliable, detail-oriented Administrative & Accounting Office Assistant to support our financial, administrative, and operational functions.

Position Overview:

This role is ideal for an organized, tech-savvy professional with experience in QuickBooks Online, payment posting, and administrative coordination. The position supports accounting processes, office operations, and internal projects to ensure smooth daily workflow.

Key ResponsibilitiesAccounting & Financial Support

Process and post payments accurately in QuickBooks Online
Assist with accounts receivable and accounts payable
Reconcile bank and credit card statements
Maintain organized financial documentation
Prepare reports as requested by management

Administrative & Office Support

Scan and organize medical and administrative documents into electronic systems
Ensure proper labeling and digital filing of records
Perform data entry and clerical duties
Assist with mail handling, supply management, and general office coordination

Project & Operational Support

Track deadlines and assist with project coordination
Support compliance and operational initiatives
Assist management with special projects and workflow improvements

Healthcare Systems & Compliance

Experience with CareTend and/or CPR+ pharmacy systems is highly preferred
Handle and process Protected Health Information (PHI) appropriately
Maintain strict compliance with HIPAA regulations at all times
Ensure confidentiality and security of patient records and financial information

Qualifications

High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
QuickBooks Online experience required
Experience with payment posting and basic accounting functions
Strong attention to detail and organizational skills
Proficiency in Microsoft Office (Excel, Word, Outlook)
Ability to manage multiple priorities and meet deadlines
Strong written and verbal communication skills

Preferred Qualifications

Previous experience in a pharmacy or healthcare setting
Experience with CareTend or CPR+
Experience handling PHI and working in a HIPAA-regulated environment
Project coordination or operational support experience

Job Types: Full-time, Part-time

Pay: From $18.00 per hour

Expected hours: 40 per week
