Summary/Objective

The Accounting Specialist will be an integral part of our accounting team with a diverse set of responsibilities including sales commissions, accounts receivable, the lifecycle of customer master data, the registration of new incentive vendors, and employee expense reimbursements. This role is responsible for the timely and accurate processing of a variety of financial transactions and managing the full collections cycle, requiring a keen eye for detail and understanding of how accurate data impacts the entire financial ecosystem.

Key Responsibilities

Commissions & Accounts Receivable:

Calculate, verify, and process monthly and quarterly sales commissions and incentive bonuses in accordance with company compensation plans
Serve as the primary point of contact for the sales team regarding commission calculations, statements, and payment inquiries, providing timely and clear resolutions
Prepare and issue customer invoices and prepare a weekly overdue report
Proactively monitor accounts to identify and follow up with customers on balances that are close to becoming past due
Actively follow up on all outstanding balances to ensure timely collection
Collaborate with the company's credit insurance provider to file claims and initiate external collection proceedings on severely past due accounts
Maintain accurate and detailed records of commission and incentive calculations, adjustments, and payouts

Customer Master Data Management:

Set up new customer accounts in the ERP system, ensuring all billing information, credit terms, shipping details, and tax statuses are accurate and complete
Perform regular audits and cleansing of the customer master database to ensure data integrity, eliminate duplicates, and update outdated information

New Incentive Vendor Registration:

Register new supplier accounts specifically for incentive programs in the ERP system
Ensure all payment terms, banking information, and tax details are accurate and properly documented for new incentive vendors

Expense Reimbursement:

Process approved employee expense reports for timely reimbursement through the appropriate payment channels
Serve as a point of contact for employees regarding the status of their reimbursements

General Accounting:

Perform daily and monthly bank reconciliations to ensure accuracy of financial records
Assist in the month-end and year-end closing processes, including the preparation of journal entries and account reconciliations
Support the annual audit process by providing necessary documentation for receivables, payables, and expenses
Contribute to the improvement of accounting processes and internal controls

Qualifications and Skills

Required:

Associate’s degree in accounting, Finance, or a related field (Bachelor's degree is preferred)
Proven experience in an accounting role with direct responsibility for managing customer and vendor master data within an ERP system
Solid understanding of the order-to-cash and procure-to-pay cycles
Proficiency in Microsoft Office Suite, with advanced skills in Excel (including complex formulas, VLOOKUPs, and pivot tables) being essential
Exceptional attention to detail, accuracy, and commitment to data integrity
Strong organizational and time-management skills, with the ability to meet strict deadlines
Excellent interpersonal and communication skills, with the ability to handle sensitive compensation and expense inquiries professionally
Ability to work independently and as part of a team

Preferred:

Experience in calculating and processing sales commissions
Experience with collections escalation procedures, including working with third-party agencies or credit insurance
Experience with expense reporting software (e.g., Concur, Expensify, etc.)
Experience in a manufacturing or distribution environment
Experience with specific ERP systems like Great Plain, Sage Intact, etc.
