Job Overview
We are seeking a professional and organized Secretary/Receptionist to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and maintaining an efficient front desk environment. The ideal candidate will possess strong administrative skills, be highly organized, and demonstrate excellent communication abilities. Bilingual skills are a plus to effectively serve diverse clients and visitors.

Duties

Greet visitors and clients with professionalism and courtesy at the front desk
Manage multi-line phone systems, screen calls, and direct inquiries appropriately
Handle data entry, filing, and document proofreading to ensure accuracy and organization
Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
Maintain office supplies inventory and perform basic office management tasks
Assist with bookkeeping using QuickBooks or similar software as needed
Provide customer support via phone, email, or in person, ensuring excellent service standards
Support administrative tasks such as typing correspondence, managing emails, and supporting personal assistant duties if required
Uphold phone etiquette and ensure a welcoming environment for all visitors

Qualifications

Proven office management or clerical experience with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Experience with multi-line phone systems and front desk operations
Knowledge of QuickBooks or similar bookkeeping software is preferred
Excellent computer literacy and data entry skills with high accuracy
Strong communication skills, including phone etiquette and customer service experience
Bilingual abilities are highly desirable to serve diverse clientele effectively
Ability to multitask efficiently in a fast-paced environment with excellent time management skills
Previous experience as a medical receptionist, dental receptionist, or personal assistant is a plus
Attention to detail in proofreading and document management is essential
