Full Job Description

Job Summary

We are looking for a versatile and highly organized Business Administrator to join our team. This dual-desk role is the heartbeat of our office, bridging the gap between Finance and People Operations.

On the Finance side, you will manage our purchasing groups (e.g., Avendra), any reporting and analysis, as well as customer account setup and management. In addition, you will be trained as backup for various accounting functions involved in AR, sales tax, and international shipment setup.

On the People side, you will serve as our internal HR and Payroll liaison, facilitating employee compliance and payroll data in partnership with our Professional Employer Organization (PEO). This is the perfect role for a detail-oriented professional who enjoys a variety of tasks and wants a seat at the table in a growing organization.

Key Responsibilities

Customer Accounts, Purchasing Group, and Revenue Reports (Approx. 60%)

Customer Account Management: Act as the primary point of contact for customer account setup and management and resolve any discrepancies.
Purchasing Group Reporting: Compile and submit accurate monthly/quarterly reports for purchasing groups (e.g., Avendra) to ensure rebate and volume compliance.
Sales Reporting: Pull and format sales data from our ERP to support sales leadership in forecasting and performance tracking.
Audit Support: Maintain organized records for purchasing group inquiries and audits.

People Operations & Payroll Facilitation (Approx. 40%)

Payroll Liaison: Audit payroll system’s collection of hours, apply commissions and bonuses; upload data to the PEO portal for bi-weekly processing and verify accuracy.
HR Liaison: Serve as the first point of contact for employees regarding pay and benefits. Manage onboarding, I-9 compliance, and background checks via the PEO.
Compliance Support: Act as the internal bridge to our PEO’s certified HR professionals for any complex personnel matters, discipline, or investigations.
Records Management: Maintain secure, confidential employee files and ensure the company remains compliant with state specific labor laws.

Qualifications, Requirements, and Desirables

Experience: 2-4 years in a professional office environment, ideally in an HR, Accounting, Bookkeeping, or Office Management role.
Education: Bachelor’s degree in Accounting, HR, Business, or related field preferred.
Software Proficiency: Intermediate skills and experience with ERP systems, MS Office, and Excel (VLOOKUPs and Pivot Tables).
Familiarity with payroll/HRIS portals (e.g., CoAdvantage, ADP, Workday, or PEO-specific platforms) a plus.
Data Integrity: Strong attention to detail to ensure that customer data and ship-to addresses are correctly mapped for accurate tax treatment.
Confidentiality: Able to maintain the highest level of professionalism and discretion regarding sensitive employee and financial information.
Analytical Mindset: Ability to spot discrepancies in large datasets and investigate the "why" behind the numbers.
Communication: Exceptional verbal and written communication skills; ability to remain professional when discussing sensitive HR or billing matters.
Other Soft Skills: Excellent interpersonal, analytical, listening, organizational, and multitasking skills.
