Job Description

Growing Real Estate company has opening for one Property Management Assistant (PM Assistant) position. We are looking for a long term employee to grow with the company. Benefits, bonus incomes, mileage reimbursement are available.

Working hours are M-F 8:30am- 5:30pm with 1 hour lunch time.

We are currently seeking a detail-oriented and motivated PM Assistant to join our team and play a key role in front desk duties, property management paperwork, conducting inspections and runner tasks for our properties.
Must not have an eviction record or collection on rental since work duty is related to property management.

Position Overview:
As an PM Assistant with a focus on receptionist, property Inspections and runner duties, you will be responsible for overseeing the front desk duties, inspection process, inspect and create reports for properties, taking pictures for listings, coordinate vendors and communicate with other team members on move in, move out and lease renewal. This role requires strong organizational skills, great attention to detail, good driving record and the ability to interact professionally with tenants, property owners, and team members.

Duties for Real Estate Assistant Position:

Answer phone calls, emails, texts and communicate with all parties.
Handling all property management related matters and paperwork as instructed and needed.
Conduct thorough walk through of the properties to assess their condition for move in, move out and lease renewal.
Conduct routine walk through of multi-family complex and commercial properties to document property condition, assess health and safety risk.
Thoroughly document property conditions, noting any damages, maintenance needs, or cleanliness issues.
Dispatch vendors for estimate on concerning issues and monitor progress.
Coordinate with tenants, property owners, and maintenance teams to ensure timely inspections and follow-up actions.
Prepare and maintain detailed inspection reports, including photos and detailed descriptions of property conditions.
Ensure that inspection checklists and necessary forms are completed accurately and in a timely manner.
Communicate inspection results with tenants, property owners, and management to facilitate the return of security deposits and necessary repairs.
Maintain organized records of inspection reports, property condition documentation, and tenant correspondence.
Provide general administrative support to the property management team, including scheduling, filing, and customer service.
Assist broker/property manager on all tasks as instructed.
Answering phone calls, texts, and emails if needed when not performing inspections.
Bank and post office run

Requirements:

Must have a valid driver's license, reliable transportation and a good driving record.
Office experience is preferred
Prefer to be familiar with Excel, words, google docs, google calendars, emails, and all necessary Computer skills.
Must be able to multi-task, be organized, and detail oriented
Being fluent in a second language is required (Spanish)
Strong organizational skills
Great attention to detail
The ability to interact professionally with tenants, property owners, and team members.
Common sense on health and safety measures for properties

Initial pay will be determined based on related experience, 3 month probation period, raise may be given after passing probation based on performance. Benefits and bonus income available.
