`1Job Summary
The Office Manager oversees the daily administrative and operational functions of Mayrx Recovery, ensuring the organization runs smoothly and efficiently. This role combines leadership, human resources support, and operational management to create a professional, compassionate, and well-organized environment for staff and clients. The Office Manager plays a key role in onboarding new employees, maintaining HR compliance, coordinating payroll, and supporting the Director of Operations in upholding the mission and values of Mayrx Recovery.

Responsibilities

Oversee front office operations, including reception, scheduling, and communication flow.
Supervise and support administrative staff, ensuring professional and timely client interactions.
Maintain a clean, organized, and welcoming office environment.
Coordinate staff schedules, meeting logistics, and program calendars.
Serve as a central point of contact between departments to ensure smooth communication.
Human Resources & Payroll
Support the recruitment and hiring process, including posting jobs, scheduling interviews, and coordinating with department heads.
Manage new hire onboarding, including HR paperwork, credentialing, background checks, and employee orientation.
Maintain accurate and confidential employee files in compliance with federal, state, and organizational policies.
Track staff certifications, licensure renewals, and training compliance.
Process payroll accurately and in a timely manner, in collaboration with the Director of Operations or Finance.
Monitor timekeeping systems and verify staff hours for accuracy before payroll submission.
Assist with benefits administration, leave tracking, and employee status changes.
Support staff performance evaluations and disciplinary documentation as directed.
Operations Management
Monitor and manage office supplies, equipment, and facility maintenance.
Coordinate with vendors, IT support, and service providers to ensure operational readiness.
Assist with onboarding administrative staff and provide ongoing training and support.
Maintain current policies, procedures, and operational documentation.
Identify areas for process improvement and recommend efficiency enhancements.
Compliance & Documentation
Ensure adherence to HIPAA, confidentiality, and safety standards.
Support regulatory readiness for DHHS and JACHO compliance,
Maintain organized records and logs for compliance and quality assurance.
Assist with preparation of reports, audits, and required documentation.
Culture & Team Support
Model professionalism, empathy, and discretion in all interactions.
Promote Mayrx Recovery’s core values: dignity, respect, accessibility, and harm reduction.
Foster a positive, collaborative, and inclusive workplace culture.
Participate in staff meetings, trainings, and performance improvement initiatives.
Additional duties as assigned.

Qualifications

Associate’s or Bachelor’s degree in Business Administration, Healthcare Administration, or a related field (preferred).
Minimum 2–3 years of office management, human resources, or administrative leadership experience (behavioral health or healthcare strongly preferred).
Experience with payroll and HR software (e.g., QuickBooks).
Working knowledge of HR compliance, onboarding, and personnel recordkeeping.
Strong organizational, time management, and multitasking skills.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office, Google Workspace, and EHR platforms.
Ability to maintain confidentiality, discretion, and professionalism at all times.
