Position Summary
Casestry, LLC is currently seeking a Human Resources Administrative Assistant who provides administrative, operational, and employee support to the Human Resources department while assisting with daily office operations. This position plays a key role in employee record management, onboarding, training coordination, employee engagement initiatives, recruitment support, and workplace compliance activities.
The HR Admin Assistant serves as a resource for employees by assisting with HR-related inquiries, maintaining accurate records, supporting employee programs, and helping ensure company policies and procedures are consistently followed. The ideal candidate is highly organized, detail-oriented, proactive, and capable of managing multiple priorities while maintaining confidentiality and professionalism.
This position is designed as an entry-level opportunity for an individual interested in developing a career in Human Resources. The successful candidate will receive training, mentorship, and progressive responsibility as they develop knowledge of HR practices, employee support, recruiting, training coordination, compliance, and employee engagement.
This role will require travel between both Herkimer and Canastota, NY locations on an as needed basis.

Schedule:
Regular availability is required Monday through Friday between 8:00 A.M. and 5:00 P.M. While the standard work schedule will generally fall within these hours, flexibility is required to support business needs.
On occasion, the employee may be required to start up to 30 minutes earlier or remain up to 30 minutes later to assist with event setup, event breakdown, employee activities, training sessions, recruiting events, or other company initiatives.
Limited evening or weekend work may be required periodically to support career fairs, recruiting activities, employee engagement events, training programs, or other business-related functions. Advance notice will be provided whenever possible.
Essential Duties and Responsibilities:
Human Resources Administration
- Maintain employee personnel files and HR records in both electronic and paper formats.
- Scan, upload, organize, and maintain employee documents within BOX and other company systems.
- File, maintain, and retrieve personnel records in accordance with company policies and applicable laws.
- Perform accurate HR data entry, recordkeeping, and document management.
- Assist with audits, compliance documentation, and record retention activities.
- Prepare offer letters, onboarding paperwork, policy acknowledgements, I-9 documentation, and other employment-related forms for HR review and approval.
- Assist with general payroll and benefits administration support, including employee inquiries and documentation.
Onboarding & Employee Lifecycle Support
- Coordinate onboarding activities for new hires, including preparation of onboarding folders, forms, and training materials.
- Ensure onboarding documentation is completed and properly filed.
- Support employee offboarding activities and record maintenance.
- Assist with employment status changes and employee documentation updates.
Training & Development Coordination
- Coordinate and track employee training programs and development initiatives.
- Maintain training records and monitor completion of required training assignments.
- Support administration of employee training and professional development programs.
- Follow up with supervisors and employees regarding required training completion.
- Prepare and distribute employee training certificates and recognition documentation.
- Support the ongoing development of employee learning paths and development programs.
Recruitment & Community Outreach
- Assist with recruitment activities and hiring process administration.
- Coordinate participation in career fairs, community events, and workforce development initiatives.
- Support community outreach, employer branding, and recruitment outreach initiatives.
Employee Engagement & Culture
- Coordinate employee recognition programs, engagement activities, and workplace culture/appreciation initiatives.
- Assist with employee appreciation events and morale-building programs.
- Conduct employee touchpoints and assist HR leadership in gathering employee feedback.
- Support initiatives that promote employee engagement, retention, and workplace satisfaction.
Employee Relations & Communication
- Serve as a professional point of contact for employee questions and administrative HR inquiries.
- Provide exceptional customer service to employees while maintaining confidentiality and professionalism.
- Assist HR leadership with employee relations documentation and follow-up activities.
- Draft internal communications, employee announcements, policy updates, and informational memos for review and distribution.
- Support employees by directing concerns, questions, and workplace issues to appropriate leadership.
Attendance, Compliance & Workplace Support
- Maintain attendance records and assist with attendance tracking and reporting.
- Generate attendance-related documentation and reports as requested.
- Support workplace compliance, employee support, and organizational standards by communicating observations and concerns to leadership, including policy violations, safety hazards, attendance concerns, and employee issues.
- Assist with ensuring compliance with company policies, procedures, and workplace standards.
Administrative & Office Support
- Prepare reports, presentations, correspondence, and other business documents using Microsoft Office applications and Smartsheet.
- Maintain departmental logs, trackers, and administrative records.
- Assist with scheduling meetings, coordinating events, and supporting general office operations.
- Order and maintain office, kitchen, and operational supplies while adhering to budget guidelines.
- Provide administrative support to HR leadership and other departments as assigned.
Travel Requirements
- Travel between company facilities as needed to support Human Resources, employee engagement, training, recruiting, onboarding, compliance, and administrative initiatives.
- Maintain a regular presence at both company locations to provide consistent employee support and ensure alignment of HR programs, policies, and workplace standards.
- Participate in off-site meetings, career fairs, training events, and company functions as required.

Education and Experience:
- Associate's degree required.
- Bachelor's degree preferred.
- Previous experience in Human Resources, Business or Office Administration, Recruiting, Customer Service, or a related field is preferred.
Physical Requirements:
- Ability to sit, stand, and walk for extended periods throughout the workday.
- Ability to conduct routine walkthroughs throughout office, warehouse, and production areas.
- Ability to use a computer, keyboard, and standard office equipment for prolonged periods.
- Ability to lift and carry office materials, supplies, and event materials as needed.
- Ability to travel between company locations and possess reliable transportation to perform essential job functions.
