Executive Assistant to Chief Operating Officer (COO)

Position Overview

Done by Dorfman is seeking an experienced, highly organized, professional, and exceptionally discreet Executive Assistant to provide direct support to the Chief Operating Officer (COO).

This is a high-trust, hands-on position requiring someone who is proactive, detail-oriented, resourceful, dependable, and capable of managing multiple priorities in a fast-paced environment.

The Executive Assistant will work closely with the COO on executive-level administrative responsibilities, scheduling, organization, communication, business operations, and occasional personal administrative matters.

Because of the level of access associated with this position, the ideal candidate must demonstrate exceptional judgment, professionalism, discretion, and confidentiality at all times.

This is not a remote position. The Executive Assistant must be comfortable working between Beverly Hills, West Hollywood, and the COO’s home office in Simi Valley, depending on the COO’s schedule and business needs.

Key Responsibilities

Provide direct executive and administrative support to the COO
Manage a busy and changing calendar, including meetings, appointments, reminders, and scheduling
Coordinate business and personal appointments as needed
Manage emails, correspondence, documents, and follow-up items
Maintain organized records, files, schedules, and administrative systems
Prepare professional documents, reports, correspondence, and presentations
Track deadlines, outstanding tasks, projects, and priorities
Coordinate meetings, travel arrangements, reservations, and detailed itineraries
Communicate professionally with employees, vendors, patients, business partners, and other contacts on behalf of the COO
Assist with administrative and operational projects for Done by Dorfman
Ensure important tasks, commitments, and follow-up items are completed on time
Handle confidential business, employee, financial, patient-related, and personal information with the highest level of discretion
Assist with administrative responsibilities from the COO’s home office in Simi Valley when needed
Run errands and assist with logistical needs
Help organize and coordinate activities between multiple office locations
Anticipate the COO’s needs and proactively address issues before they become problems
Maintain professionalism when interacting with high-profile individuals, patients, physicians, business partners, and other contacts
Perform additional executive-support duties as needed

Qualifications

Minimum 3+ years of experience as an Executive Assistant, Personal Assistant, Office Manager, or in a senior-level administrative support role required
Proven experience directly supporting an executive, business owner, physician, or other senior-level professional
Exceptional organizational skills and attention to detail
Strong administrative background with excellent follow-through
Excellent written and verbal communication skills
Strong calendar, scheduling, and time-management abilities
Ability to manage multiple priorities and deadlines simultaneously
Ability to work independently and take initiative without requiring constant direction
Strong problem-solving skills and sound professional judgment
Proficiency with email, calendars, Microsoft Office and/or Google Workspace
Tech-savvy and comfortable learning new systems
Valid driver’s license and reliable transportation
Ability and willingness to regularly travel between Beverly Hills, West Hollywood, and Simi Valley
Ability to maintain strict confidentiality and discretion at all times
Flexibility when schedules, locations, or priorities change

Experience supporting a physician, medical practice, luxury business, entrepreneur, executive, or high-profile individual is strongly preferred.

Schedule & Work Locations

This is a full-time, in-person position.

The Executive Assistant must have the flexibility to work at different locations depending on the COO’s schedule, including:

Beverly Hills
West Hollywood
COO’s home office in Simi Valley

Reliable transportation and the ability to commute between these locations are required.

Confidentiality is an essential requirement of this position.

The Executive Assistant may have access to sensitive business, employee, patient, financial, operational, and personal information. The successful candidate must demonstrate excellent judgment and maintain strict confidentiality both during and outside of working hours.
