The University of Miami/UHealth department of Supply Chain has an exciting opportunity for a fulltime Sr. Manager, Administrative Operations to work in Hialeah, FL. The Sr. Manager, Administrative Operations manages office activities and services including the supervision of office staff to achieve maximum productivity and expense control. The incumbent creates policies and procedures for administrative activities, such as records maintenance, document preparation, mail distribution, reception, and other related internal operations.

CORE JOB FUNCTIONS

Ensures all administrative operations run smoothly and efficiently. Evaluates existing internal controls and approval processes and makes recommendations on how to improve fiscal integrity and operational efficiency.
Coordinates, plans and directs services which support the running of the department.
Plans and coordinates the duties of staff in addition to analyzes complex administrative concerns.
Develops and implements department processes.
Oversees the review, approval and reporting of all expenditures.
Implements department human resources actions, which may include hiring, terminations, salary etc. Recruits, trains and prepares performance reports for staff.
Manages, implements, coordinates, plans and evaluates the administrative operations for the department/division.
Oversees staff in the day-to-day performance of their jobs.
Ensures projects, department milestones/goals are met and adheres to approved budgets.
Purchases and maintains office equipment and supplies.
Tracks and analyzes operational costs.
Manages the delivery of services with other departments.
Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

DEPARTMENT SPECIFIC JOB FUNCTIONS

Role would serve as administration coordinator for Supply Chain executive leadership. While the role might imply general office support, in supply chain the role is highly tactical and centers on data integrity, documentation, and communication. Role would support day to day operations of Chief Supply Chain officer, including but not limited to, calendar and schedule management and planning, supervision of budget management, oversight of leadership meetings coordination, department wide meetings and communication, internal and external supply chain communication, and office management leadership.

Role serves as operational GLUE between several specialized departments.
KPI documentation and reporting, ensure coordination of data/dashboards to track department performance.
SOP maintenance, update and maintain standard operating procedures (SOPs) and department SharePoint sites to keep processes standardized and appropriate level of communication.
Manage travel logistics and calendars for supply chain CSCO and supporting leadership, organize department all-hands or vendor review meetings.
Coordinate supply chain budgeting process for operating and capital expenses.

CORE QUALIFICATIONS

High school diploma or equivalent- Bachelor’s degree preferred
Minimum 6 years of relevant experience

Organizational Development: Ability to implement strategies to improve organizational effectiveness, engagement, and manage change.
Financial Oversight: Knowledge of financial operations and management.
Team Leadership: Ability to create and maintain a cohesive and productive team environment, build positive working relationships and work collaboratively with others.
Technical Proficiency: Skilled in using office software, technology, and relevant computer applications.
Communication: Strong verbal and written communication skills to convey ideas clearly and persuasively
