Real Estate Executive AssistantTop-Producing Luxury Real Estate Brokerage

We are seeking a highly organized, proactive, and detail-oriented Real Estate Executive Assistant to support a busy, top-producing real estate professional in a fast-paced environment.

This is a hands-on role for someone who takes ownership, stays several steps ahead, and ensures that appointments, leads, seller communication, and follow-ups are handled properly.

Schedule

Monday–Friday, 10:00 AM–6:00 PM
Occasional flexibility outside regular hours may be needed
Weekend availability is a strong plus

Compensation

Competitive pay based on experience
Year-end performance bonus

Responsibilities

Manage calendars, appointments, meetings, showings, and daily priorities
Coordinate calls, property visits, and follow-ups
Maintain consistent communication with sellers
Provide sellers with updates on showings, buyer feedback, marketing activity, and listing progress
Collect showing feedback and ensure all promised follow-ups are completed
Organize incoming buyer and seller leads and maintain accurate CRM records
Track appointments, client communication, deadlines, and next steps
Coordinate with agents, marketing staff, vendors, attorneys, title companies, and other team members
Delegate tasks and follow through to ensure projects are completed
Assist with listing preparation, administrative tasks, and daily operations
Travel locally for meetings, property visits, inspections, or document delivery as needed

Requirements

Strong organizational, communication, and time-management skills
Professional and comfortable communicating with luxury clients and sellers
Ability to work effectively in a fast-paced, high-volume environment
Proactive, dependable, and solution-oriented
Excellent attention to detail and follow-through
Previous real estate experience strongly preferred
Proficiency with Matrix, ShowingTime, CRM platforms, and Google Workspace
Reliable transportation and willingness to travel locally
Ability to handle confidential client and business information professionally

The ideal candidate is someone who does not wait to be told what to do. They anticipate needs, communicate clearly, solve problems, and make sure nothing falls through the cracks.
