Full Job Description

We are seeking a reliable, organized, and motivated Office Administrator to join our team. This position plays a key role in supporting daily office operations, customer communication, order processing, and administrative functions. The ideal candidate is detail-oriented, professional, and comfortable working in a fast-paced environment.

Key Responsibilities

Enter customer orders accurately into internal systems
Process customer payments including credit card, cash, and check transactions
Track payment stages and assist with delinquent account follow-up
Mail invoices and account statements to customers
Sort and file subcontractor and vendor invoices
Record notes and updates for significant account changes
Provide backup support for reception duties when needed
Collaborate with team members and assist with cross-training initiatives
Implement new file organization systems to modernize operations

Qualifications

Previous experience in office administration, bookkeeping, office management, or a similar operational role
Strong working knowledge of QuickBooks (required)
Understanding of basic accounting principles, invoicing, and reconciliations
Experience with purchasing, vendor communication, and order tracking
Strong organizational and multitasking abilities
Excellent written and verbal communication skills
Self-motivated, dependable, and able to work independently
Strong problem-solving mindset with a focus on efficiency and process improvement
Comfortable using computer systems, email, web searches, social media, and business software applications
Proficiency in Microsoft Office including Excel and Word
Ability to prioritize tasks, meet deadlines, and support team operations
Positive attitude with a high level of professionalism and energy
Experience in the construction industry
