Job Summary

We are seeking a bi-lingual (Spanish) dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team. This vital role combines financial management with administrative support, ensuring smooth daily operations and accurate record-keeping. The ideal candidate will be energetic, highly organized, and proficient in office management and bookkeeping tasks. Your positive attitude and strong communication skills will help foster excellent client relationships and support our team’s productivity. Duties

Manage accounts receivable and payable using QuickBooks Online, ensuring timely invoicing and payments
Maintain accurate financial records, reconcile bank statements, and prepare financial reports
Handle multi-line phone systems, directing calls professionally and courteously
Support office management tasks including filing, data entry, and maintaining organized spreadsheets
Assist with calendar management, scheduling appointments, and coordinating meetings
Provide exceptional customer service at the front desk, greeting visitors and clients with professionalism
Perform clerical duties such as word processing, document preparation, and phone communication
Manage client communication through email and phone to ensure prompt responses and support
Support personal assistant tasks including travel arrangements and time management for staff members

Experience

Proven experience in office administration or clerical roles with a focus on bookkeeping or accounting preferred
Proficiency in QuickBooks Online accounting software is essential
Strong computer literacy with expertise in Microsoft Office Suite (Word, Excel, Outlook) and productivity software
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
Bilingual abilities are a plus to effectively communicate with diverse clients and team members
Prior experience managing multi-line phone systems and front desk responsibilities highly desirable
Demonstrated ability to handle data entry accurately while maintaining attention to detail
Strong customer service skills with a professional phone etiquette mindset
Familiarity with calendar management tools and scheduling software is advantageous
