Full Job Description

Job Summary:

We are seeking a reliable and welcoming Medical Records Receptionist to join our team. In this role, you will be the face of our practice and a key coordinator of patient health information. The ideal candidate brings strong administrative skills and a respectful, collaborative attitude to ensure smooth office operations and a positive environment for everyone.

Hours: 6:00 am - 3:00 pm

Lunch: 1 hour 11:00-12:00

Key Responsibilities

Patient Care & Front Desk: Greet patients warmly, manage the check-in process, and answer multi-line phone calls with professionalism and empathy.
Team Collaboration: Work closely with clinical staff, billing teams, and administration to maintain an organized, supportive, and positive workplace culture.
Records Management: Accurately update electronic health records (EHR), scan patient documents, and process confidential record requests. Insurance verification
Privacy & Compliance: Handle all patient files and communication with strict respect for confidentiality and full adherence to HIPAA regulations.

Greet patients and visitors warmly, answer multi-line phone systems with professionalism, and schedule appointments using medical scheduling software.
Manage health records to accurately update patient information, document visits, and ensure compliance with HIPAA regulations.
Collect and review medical documentation, including insurance information, care plans, and clinical notes; verify accuracy and completeness for billing and recordkeeping purposes.
Support administrative functions by preparing reports using Microsoft Office tools, reviewing documentation for accuracy, and ensuring compliance with clinical confidentiality policies.

Qualifications

Proven experience in a medical office setting or healthcare environment with strong clerical skills.
Knowledge of medical terminology, health insurance processes including Medicare.
Excellent customer service skills with the ability to communicate effectively in bilingual settings preferred.
Strong computer skills including proficiency in Microsoft Office applications;
Ability to handle sensitive patient information confidentially following HIPAA guidelines.
Prior clinic office experience is highly desirable; familiarity with medical billing and documentation review is advantageous.
Exceptional organizational skills with attention to detail in filing, data entry, and appointment scheduling.

Education:

High school diploma or equivalent
College preferred
