Responsibilities

Greet visitors warmly and direct them appropriately, ensuring a positive first impression.
Manage multi-line phone systems efficiently, answering inquiries and routing calls with professionalism and courtesy.
Handle data entry tasks accurately using productivity software such as Microsoft Office, Google Workspace, and spreadsheets.
Maintain organized filing systems, including digital documents and physical records, ensuring easy retrieval.
Support office management activities including calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software.
Assist with client communication via phone, email, or in person to provide support and information as needed.
Perform clerical duties such as proofreading documents, managing correspondence, and supporting administrative projects to enhance office productivity.

Requirements

Proven experience in office management or administrative support roles with strong organizational skills.
Excellent computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, spreadsheets, and data entry.
Familiarity with multi-line phone systems and professional phone etiquette.
Bilingual abilities are highly desirable to serve diverse client needs effectively.
Prior experience in customer service or front desk roles demonstrating strong communication skills.
Knowledge of bookkeeping tools like QuickBooks and calendar management software is a plus.
Ability to handle multiple tasks efficiently while maintaining attention to detail under pressure.
