Position Summary

The Client Experience & Operations Coordinator is responsible for ensuring that every client interaction is handled with professionalism, efficiency, and attention to detail.

You will serve as the first point of contact for prospective and existing clients while supporting the day-to-day administrative and operational needs of the firm.

This role is not a sales position. Instead, you will help create an exceptional client experience while ensuring our internal operations remain organized and efficient.

Primary Responsibilities

Client Experience

Professionally answer incoming telephone calls.
Respond to client inquiries promptly and courteously.
Schedule and confirm appointments.
Welcome clients with warmth and professionalism.
Maintain consistent communication throughout the client experience.
Coordinate appointment reminders and follow-up communications.

Operations & Administration

Create and maintain organized client files.
Request and organize required documentation.
Maintain accurate records and internal tracking.
Assist with internal workflow coordination.
Prepare client correspondence and documentation.
Support leadership with administrative projects.

Office Operations

Maintain organized digital records.
Coordinate office supplies and vendor relationships.
Assist with meeting preparation.
Help improve operational processes and efficiency.
Maintain confidentiality of all client information.

Qualifications

Preferred qualifications include:

Two or more years of experience in:
Financial services
Insurance
Wealth management
Banking
Executive administration
Professional services
Law firms
Medical administration

Equivalent experience in a client-facing professional environment will also be considered.
