Full Job Description

Since its beginning in 1857, Carlsmith Ball LLP continues its tradition of providing top-notch legal services to a wide range of local, mainland, and international clients. As a multi-service law firm with offices located on Hawaii Island, Maui, and Oahu, we practice in a variety of areas including Real Estate and Land Use, Corporate and Business Formation, Tax and Estate Planning, and Civil Litigation.

We are seeking an experienced, highly skilled, and hands-on Payroll Manager to administer and manage our Payroll Team. The ideal candidate has strong technical skills and expertise as well as leadership and mentoring capabilities to develop a payroll specialist.

Job Responsibilities:

Process and/or oversee the end-to-end processing of payroll for attorneys and staff utilizing our HRIS/ADP including review and edit timecards, calculate withholdings and deductions, update and maintain payroll reports and records, review payroll registers ensuring accuracy, etc.
Monitor and verify internal controls and proper accounting policies are exercised to maintain confidentiality and safeguard firm's assets and integrity of data.
Ensure compliance with firm policies, procedures, State and Federal laws, and rules and regulations of regulatory agencies.
Handle confidential information properly and with integrity.
Prepare recurring journal entries for General Ledger input. Conducts monthly, quarterly, and annual reconciliation of payroll related General Ledger accounts.
Respond to internal & external requests or inquiries from Attorneys, Managers, staff by phone, email, or personal meetings regarding various payroll and benefit deduction questions and/or issues.
Work on quarterly and annual reporting items (i.e., Multiple Worksite Report, TDI quarterly premium reporting. Work on annual financial audit/reviews.
With firm leadership, work on completing various Law Firm Surveys, providing pay/bonus history, Overtime Reports for the fiscal year, current pay details for annual increases.
Assist with some administrative duties relating to the firm's pension plan. Including and not limited to providing payroll details such as compensation, deferrals, loan, etc. Assist with partner related deductions that are reported on the K-1's.
Prepare various internal and external reports for Accounting, firm Leadership, regulatory agencies, IRS, HMSA/Kaiser, vendors, etc.
Monitor and audit payroll staff work to ensure accuracy and deadlines are met.
Trains, develops, and mentors Payroll staff.

Minimum Qualifications:

Education: Bachelor's degree from an accredited four-year college or university in accounting or finance or related field.

Experience: Minimum 10 years Payroll experience.

Minimum 3 years staff supervisory experience.

Skills & Abilities:

Able to properly manage highly confidential and sensitive information and maintain the security and integrity of such information.
Meticulous attention to detail and extremely organized to effectively manage multiple tasks and prioritize workload effectively.
Strong analytical and problem-solving skills.
Excellent critical thinking skills.
Thorough understanding of payroll and applicable regulations.
Highly skilled in math, basic accounting, and payroll processes.
Computer literate - Proficient in Microsoft Office Word, Excel, and Outlook and Adobe.
Excellent verbal and written communication skills in order to communicate with internal and external partners.
Dependable with strong work ethic to produce results.
Able to work independently and collaboratively - self-starter. Resourceful.
Professional and ethical with a high level of integrity required.
Preferred but not required: knowledge of Aderant, Access, Power Point.
