Job Title: Agency Partner Program Assistant

POSITION SUMMARY
The Agency Partner Services Assistant plays a supportive role within Hawai‘i Foodbank’s Agency Relations Department, assisting with the onboarding, training, and day-to-day support of agency partners using the Neighbor Connector (Service Insights) platform. The Assistant also provides programmatic and administrative support to expand and sustain The Emergency Food Assistance Program (TEFAP) and Temporary Assistance for Needy Families (TANF) participation among agency partners.

Working under the direction of the Director of Agency Relations and in collaboration with the Community & Agency Partnerships Manager, this position supports Hawai‘i Foodbank’s network of 150+ nonprofit, community-based, and faith-based agency partners serving individuals and families experiencing food insecurity. This role focuses on learning and applying departmental procedures and policies, maintaining accurate records and data, supporting agency engagement, and assisting with compliance, outreach, and training efforts.

The Assistant is highly detail oriented with excellent communication and organizational skills and is expected to actively identify opportunities to improve efficiency and effectiveness within assigned tasks and workflows. The position requires a team-oriented spirit and a “no task too small” attitude in a fast-paced environment. The ideal candidate is flexible and adaptable to a fluid and dynamic work setting and brings a positive, can-do approach to daily challenges. This role prioritizes customer service and collaboration and requires the ability to balance competing work demands with composure, accountability, and professionalism.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

Neighbor Connector / Service Insights Support (Primary Focus)

Assist with onboarding and training agency partners on the Neighbor Connector (Service Insights) platform.
Support ongoing maintenance of agency accounts, user access, and event management within the system.
Assist with troubleshooting basic technical issues and escalate complex concerns as needed.
Monitor data quality and compliance with data hygiene best practices; follow up with agencies to address issues.
Support agency site visits to observe implementation, assist with troubleshooting, and provide user support.
Assist with communications, updates, and resource sharing related to Service Insights adoption and best practices.

Agency Relations, TEFAP & TANF Support (Secondary Focus)

Support the Agency Relations Department with programs related to TEFAP and TANF, including outreach, training, and program execution.
Support outreach and education efforts under the TEFAP Reach and Resilience program, including assistance with language and resource needs.
Assist with maintaining accurate agency files and records in both electronic and hard-copy formats.
Support monitoring visits to review program requirements, food safety practices, site conditions, and compliance with City, State, Federal, Feeding America, and Hawai‘i Foodbank requirements.
Assist with audit readiness by ensuring agency files and documentation are complete and up to date.
Respond professionally and promptly to agency partner inquiries, requests, and basic concerns.
Assist with agency orientations, required trainings, and ongoing education efforts.
Support the planning and coordination of the annual agency conference and other trainings or events.

Other Functions

Participate in bi-weekly Agency Relations meetings and contribute to team planning and implementation efforts.
Support Hawai‘i Foodbank’s rollout of new technology initiatives related to agency engagement and data collection.
Maintain a high standard of customer service, professionalism, and collaboration across departments.
Perform other duties as assigned in support of Hawai‘i Foodbank’s mission

QUALIFICATIONS

Strong written and verbal communication skills.

EDUCATION and/or EXPERIENCE:

3 years of college and/or 3 years related experience and/or training in Human Services; or equivalent combination of education and experience.
Non-profit experience is preferred

LANGUAGE SKILLS:

Ability to read and comprehend simple instructions, short correspondence, and memos.
Ability to write simple correspondence.
Ability to effectively present information in one-on one and small group situations to customers, clients and other employees of the organization

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Ability to calculate figures and amounts such as discounts, interest, commissions, percentages.
Ability to apply all concepts of bookkeeping and all generally accepted accounting procedures.

REASONING ABILITY:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Ability to deal with problems involving concrete variables in standardized situations.

EQUIPMENT, MACHINES, TOOL, VEHICLES USED:

Ability to complete relevant material handling equipment certification(s), and to safely use that equipment at all times.
Ability to use a computer workstation including scan gun, tablets, keyboard, mouse, printer, fax, and multi-line phone systems to execute tasks.
Ability to use Microsoft Office Suite (Excel, Outlook, Word)
Maintain a valid driver’s license (Type 3) to operate a vehicle to run errands, donation pickups, etc.

Field work requiring driving for off-site vendors and programs

The noise level is moderate to loud at times
