Full Job Description

Position Summary

The Customer Service provides administrative and customer support to the sales team while helping ensure smooth daily operations. This position assists with order entry, customer communications, quote preparation, inventory inquiries, document management, and accurate data entry within the Agility ERP System.

The Sales Assistant serves as a key liaison between customers, sales representatives, production, shipping, and accounting departments to help deliver excellent customer service and support company sales objectives.

Essential Duties and Responsibilities Customer Support

Assist Sales Representatives with daily customer account management.
Prepare and distribute customer quotations and pricing information.
Process customer orders and sales documentation.
Follow up on open quotes and pending orders.
Support sales representatives with customer communications and administrative tasks.
Maintain sales records and documentation.

Customer Service

Answer incoming customer calls and emails.
Provide customers with order status updates.
Assist customers with product information and availability inquiries.
Resolve routine customer concerns and direct complex issues to the appropriate sales representative.
Maintain positive customer relationships through professional communication.

Agility ERP Responsibilities

Enter customer orders accurately into the Agility system.
Update customer profiles and account information.
Verify product availability and inventory levels.
Review order details for accuracy prior to processing.
Generate reports and documentation as requested by management.
Maintain accurate customer and sales records within Agility.

Coordination & Communication

Coordinate with production, warehouse, and shipping personnel regarding customer orders.
Assist with scheduling deliveries and pickups.
Communicate order changes and special requirements internally.
Help ensure timely shipment of customer orders.
Monitor open orders and follow up on outstanding issues.

Administrative Duties

Organize electronic and paper sales files.
Prepare spreadsheets, reports, and correspondence.
Assist with new customer account setup.
Maintain price sheets and customer contact lists.
Perform general office and administrative tasks as assigned.

QualificationsRequired

High School Diploma or GED.
Strong computer and data entry skills.
Working knowledge of Microsoft Office (Word, Excel, Outlook).
Excellent communication and customer service skills.
Strong organizational skills and attention to detail.
Ability to manage multiple tasks and deadlines.

Preferred

Experience in customer service, sales support, or office administration.
Experience with ERP systems, especially Agility.
Experience within manufacturing, lumber, wood products, or building materials industries.
