Full Job Description

JBC Manpower is seeking a highly organized, results-driven Director of Office Administration to oversee and lead the company’s internal administrative operations. This executive leadership role is responsible for ensuring that all administrative departments operate efficiently, consistently, and in alignment with the company’s growth strategy.

The Director will oversee Human Resources, Recruiting, Payroll Administration, Compliance, Training, Office Administration, Employee Services, and Information Technology while driving process improvement, operational efficiency, and organizational scalability.

This position reports directly to the Chief Executive Officer (CEO).

Key Responsibilities

Administrative Leadership

Lead and oversee all administrative departments.
Develop and implement company policies and procedures.
Improve internal workflows and operational efficiency.
Standardize processes across all office locations.
Support the company’s long-term growth strategy.

Human Resources

Supervise HR operations.
Ensure employee records remain accurate and compliant.
Oversee onboarding and offboarding processes.
Support employee relations and engagement initiatives.

Payroll Administration

Supervise payroll processes.
Ensure payroll accuracy and compliance.
Review payroll reports and exceptions.
Coordinate with Finance on payroll-related matters.

Compliance & Training

Ensure compliance with client requirements.
Supervise employee training and certifications.
Maintain compliance records and documentation.

Information Technology

Oversee IT infrastructure and technology initiatives.
Support implementation of CRM, ATS and internal business systems.
Coordinate cybersecurity, equipment management and system upgrades.
Ensure technology supports company growth.

Office Administration

Supervise administrative staff.
Manage office operations and facilities.
Coordinate administrative resources and supplies.
Support company events and internal communications.

Employee Services

Oversee employee support programs.
Coordinate company benefits.
Support employee wellness initiatives.
Help maintain a positive company culture.

Occupational Health & Employee Services

Oversee the administrative operations of the company’s occupational health clinic.
Coordinate clinic resources, scheduling and internal processes.
Ensure effective communication between the clinic, HR, Safety and Operations.
Support employee wellness initiatives and occupational health programs.
Monitor service quality, operational efficiency and employee utilization of clinic services.
Assist in the development and expansion of employee health and wellness programs.

Strategic Projects

Lead and coordinate company-wide strategic initiatives assigned by the CEO.
Oversee implementation of new systems, technologies and internal processes.
Coordinate cross-departmental projects to ensure successful execution.
Monitor project timelines, budgets and deliverables.
Provide regular progress updates to executive leadership.

Leadership Responsibilities

Build, coach and develop department leaders.
Conduct regular leadership meetings.
Establish departmental goals and KPIs.
Hold department managers accountable for performance.
Promote continuous improvement throughout the organization.

Qualifications

Bachelor’s Degree in Business Administration, Management or related field preferred.
7+ years of leadership experience in administration, operations or business management.
Experience managing multiple departments simultaneously.
Strong knowledge of HR, payroll, compliance and organizational management.
Experience leading growing organizations is highly preferred.
