Job Overview
The Office Engineer is a graduate engineer and/or construction technologist with a minimum of five (5) years of relevant construction experience. The Office Engineer supports the Project Coordinator and construction team by providing project administration, document control, cost tracking, coordination, and reporting services to ensure the successful delivery of construction projects. This position plays a critical role in maintaining project records, tracking action items, processing invoices, and supporting project controls.

Essential Duties and Responsibilities

Project Coordination

Support the Project Coordinator and construction team in the execution of project activities.
Coordinate communication among contractors, consultants, and project stakeholders.
Maintain and update project contact lists and distribution lists.

Document Control and Tracking

Receive, log, track, and maintain project documentation, including:
Requests for Information (RFIs)
Submittals
Issue logs
Change Orders
Potential Change Orders (PCOs)
Project correspondence and contact lists
Monitor open items and proactively follow up with responsible parties to ensure timely resolution and closeout.

Meeting Coordination

Attend project meetings and prepare clear, accurate meeting minutes.
Distribute meeting notes and track assigned action items.
Follow up with team members and stakeholders to ensure tasks are completed and outstanding items are closed promptly.

Financial and Cost Administration

Coordinate and track monthly contractor and consultant invoices.
Assist with the review and processing of project invoices for accuracy and completeness.
Assist in ensuring monthly payment applications are prepared, reviewed, and submitted accurately by the 5th day of each month.

Estimating and Quantity Take-Offs

Assist in performing quantity take-offs for construction activities.
Support construction estimating efforts and preparation of scope-of-work documents as needed.
Assist with cost tracking and budget-related documentation.

Testing and Inspection Coordination

Assist in coordinating construction testing and inspection activities.
Review testing and inspection daily reports for completeness and accuracy.
Assist in reviewing associated invoices and maintaining supporting documentation.

Project File Management

Maintain organized and accurate project files in ATSER, PMIS, and other designated project management systems.
Ensure project records are current, complete, and easily accessible.
Support project documentation and reporting requirements throughout the project lifecycle.

Qualifications

Education

Bachelor's degree in Engineering, Construction Management, Construction Technology, or a related field; or
Equivalent combination of education and experience.

Experience

Minimum of five (5) years of experience in construction engineering, construction management, project controls, or project administration.

Knowledge, Skills, and Abilities

Knowledge of construction management processes and project documentation.
Familiarity with RFIs, submittals, change orders, and document control procedures.
Experience using ATSER, PMIS, Microsoft Office Suite, and other project management software.
Strong organizational, communication, and interpersonal skills.
Ability to manage multiple tasks and deadlines in a fast-paced environment.
Detail-oriented with strong follow-up and problem-solving abilities.
Ability to work effectively with contractors, consultants, and project teams.

Preferred Qualifications

Experience on transportation, infrastructure, municipal, or public works projects.
Familiarity with construction estimating and cost control practices.

Experience Required: Minimum 5 Years
