Overview

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This vital role combines essential bookkeeping responsibilities with administrative support to ensure smooth office operations. The ideal candidate will bring energy, organization, and a proactive attitude to manage financial records, handle clerical tasks, and provide exceptional customer service. Responsibilities

Manage and maintain accurate financial records using QuickBooks and other productivity software
Perform data entry tasks with precision, including invoicing, billing, and expense tracking
Handle front desk duties such as greeting visitors, answering multi-line phone systems, and directing calls professionally
Support office management by organizing files, proofreading documents, and maintaining filing systems
Assist with calendar management and scheduling appointments or meetings for staff and clients
Provide excellent customer support via phone, email, or in person, ensuring positive interactions at all times
Coordinate office supplies procurement and oversee general administrative functions to enhance productivity and workflow

Requirements

Proven experience with bookkeeping software, especially QuickBooks
Strong computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Excellent organizational skills with the ability to prioritize tasks efficiently
Previous office or clerical experience, including data entry and filing responsibilities
Exceptional phone etiquette and customer service skills in a front desk or reception setting
Bilingual abilities are a plus for effective communication with diverse clients and team members
Technical proficiency in managing multi-line phone systems, calendar management, and office management tools
Demonstrated ability to manage time effectively while handling multiple priorities in a professional manner
