Full Job Description

Job description : Staff Accountant

Role & Responsibilities

Accounts Receivables and Project Controls function

Managing the preparation of monthly invoice packages for all billable projects, including all applicable backup
Follow up with clients for collection of payment
Running monthly accounting meetings with the construction/project management team to review upcoming projections/billings
Setting up new projects in Job Cost and the necessary spreadsheets daily
Investigating the project variances and reporting to the management
Creating and submitting government reports and tax returns related to the construction project – certified payroll
Reviewing project budgets, including fee structures, staffing, and work plans
Ensuring a smooth cash flow by auditing, generating, and sending invoices promptly.
Aggregate sub contractor insurance for various project & always keep current IECONI insurance

Accounts Payable, monthly & quarterly close

Receive invoices and allocate invoices against job cost codes
Create spend plan based on “payment terms” with vendors
AP report every week and reconcile them before month end.
Download all transaction from credit cards on weekly basis and reconcile with receipts. Ensure all receipts are scanned in and all expenses are allocated to specific projects.
Download all bank transactions and report bank balance to management everyday
Create payroll every week and reconcile with Timeero & allocate costs to respective projects.
Monthly close
Create bank reconciliation (including credit card payments) for month end.
Create P&L by project
Create company P&L, AP, AR & Cash flow projections.
Create a monthly company budget variance.
Update physical asset list
Update depreciation schedules
Project %age completion and EV analysis
Quarterly close
WIP reconciliation
Project %age completion, under/over billing
Quarterly Financial statements for Banks and Bonding companies
Shareholder equity reconciliation
Update Asset list with depreciation
Update Pre-paid asset registers and pre-paid insurance.
Reconcile loan accounts.

Yearly close

Put together annual financial statements for the company
Third Party Audit & Review requirements
All review & audit requirements to be coordinated with CFO & Third party independent accountant
Ensure that all vendors are paid in a timely fashion and keep up with D&B ratings of the company

Cash Flow projections & Financial Analysis

Put together weekly operating cash flow projections taking into account the billing plan, spend plan and AR.
Create projected quick ratio and current ratio based on project backlogs.
Deal with Banks on an as needed basis to secure funding.
Create metrics for an overall financial health check for the company.
Facilitate growth plans for the company by coordinating with private equity firms on an as needed basis.
Advising best course of action for tax accounting strategies.

General Business Systems analysis and use of new technology to improve operational efficiency.

Minimum Experience & Qualifications

· Minimum of 15 years in construction accounting inclusive of book-keeping

· Bachelor’s degree in accounting

Software requirements

DELTEK Computer-ease (Mandatory)
MS Office, Excel
Time management, Geofencing software such as Timeero
VPN, Teams & remote working softwares.
